Position Summary

Provides advanced administrative support to the Vice President for External Affairs and Senior Counsel to the President. Operates independently in prioritizing own workload and determining how best to accomplish work objectives. Is proactive in identifying, following through, and resolving various issues. Participates in special projects as required.

Essential Responsibilities

The Executive Administrative Assistant provides advanced administrative support for answering, screening, and responding to inquiries on behalf the Vice President and other office staff; drafting, typing, proofreading, and editing basic to complex documents; creating and maintaining confidential and sensitive files and records; opening, distributing, and independently and proactively responding to correspondence; maintaining inventory and ordering supplies; reviewing invoices and resolving discrepancies; and other duties as assigned. Speaks and acts on behalf of those supported regarding a variety of issues and topics that may cross College Divisions. Interfaces directly with external contacts in a liaison capacity on behalf of those supported. May participate in specials projects, proactively tracking status of work in progress. May independently gather, summarize, and analyze data and prepare various reports on behalf of those supported and as requested by others. Maintains calendar for those supported, scheduling and recording appointments as requested. May arrange travel plans on behalf of those supported. Working closely with the Vice President, manages Government Scholarship application process; assists with review, award and disbursement of scholarship funding. Maintains scholarship recipient list, serves as a liaison between the College and students.

Position Requirements
  • At least two years of administrative assistant experience in a college setting, with a thorough working knowledge of office routines and procedures. Community College experience is strongly preferred.
  • Bachelor’s Degree preferred, Associate’s Degree required. Bilingual (Spanish/English or Arabic/English) is highly desirable.
  • Strong interpersonal skills. Ability to interface with the College community and public in a courteous, customer-friendly manner, and to effectively communicate and interact with students, faculty, and staff on a daily basis. Experience working with a culturally diverse college population is highly desirable.
