Title: Administrative Assistant to the Senior Vice President for Enrollment and Student Success                         

Description: Under the supervision of the Senior Vice President for Enrollment and Student Success, and the Director of Admissions, the Administrative Assistant is responsible for providing executive level assistance and confidential administrative support to the Senior Vice President to ensure professional and efficient office operations with a customer service emphasis.

Responsibilities

  • Ensure all communications from the SVP and the office reflect positively on Hartwick College and the Admissions office, and the content and message are consistent with the Organizing Principle and Strategic Framework
  • Maintain SVP calendar, calls, appointments, correspondence, files and ensure appropriate preparation for daily activities
  • Serve as primary liaison with a wide range of individuals including Vice Presidents, faculty and staff throughout the College
  • Respond to information requests with a high level of professionalism and confidentiality
  • Perform a wide range of administrative and executive support-related tasks
  • Schedule meetings and conferences
  • Provide input and administrative support for proposed programs and operational changes
  • Coordinate special projects and assignments
  • Coordinate work flow, including tracking and follow-up of all meetings, projects, and items that require special attention
  • Serve as the communication link between the SVP and Trustees, primarily the Student Experience  Committee and serves as back up for other committees as assignedProvide to the SVP support and coordination for communication and scheduling  in the development of the Student Experience committee meeting agenda and materials for distributionRecord and maintain minutes for meetings of Direct Reports, Enrollment Management & Student Success Division, and other meetings as assigned
  • Supervise and schedule work study staff, including oversight of student receptionists
  • Manage and maintain the admissions calendar, including oversight of interview and campus tour scheduling
  • Responsible for event registration, including event coding in Datatel, processing event confirmation letters and emails, and oversight of registration the day of the events
  • Additional duties as assigned
  • Expected to comply with all applicable College, Federal, State, local and associational laws, rules and regulations 
  • As a representative of the College, the AA to the SVPEMSS is expected to comport oneself in a professional manner at all times, both on and off campus
  • Participation in signature college wide events such as Commencement Weekend, WickWeek, and True Blue Weekend
Qualifications: Minimum requirements for this position are a High School Diploma or GED with 1-3 years of experience in an office setting, as well as administrative assistant experience. Clean driving record and valid driver’s license is required.

  • Demonstrated knowledge of Windows based computer software preferred (Word, Office, Excel, Power Point, etc.)
  • Knowledge of information systems (Datatel)
  • Superior data entry/typing skills
  • Excellent verbal and written communication skills across multiple disciplines
  • Ability to multi task
  • Ability to be flexible and patient
  • Excellent time management and organizational skills
  • High level of interpersonal skills and ability to talk over the phone
  • Ability to create and maintain positive relationships with all internal and external constituents

Athletics
Hartwick sponsors 18 intercollegiate teams, 8 for men and 10 for women. Hartwick sports compete at the NCAA Division III level.
