Position Announcement: Administrative Support Assistant,

Biology Service Facility

The Division of Biology at the University of Tennessee, Knoxville invites applications for Administrative Support Assistant position within the Biology Service Facility (BSF).  This is a non-exempt, 12-month, full-time, non-tenure track staff position.

The Division of Biology:

The Division of Biology houses three different departments: Microbiology, Ecology and Evolutionary Biology, and Biochemistry, Molecular, and Cellular Biology.   The Division is home to over 1,000 faculty, staff, and students.  These researchers are actively engaged in scientific exploration, including field studies throughout the world.  BSF functions to actively support these endeavors. 

The Department:

As a support facility that falls within the Division of Biology, BSF is committed to excellence in the service and support of laboratory equipment utilized by our scientific community. Our primary goal is to support teaching and research by lowering equipment down time, minimizing repair costs, and providing service equal or superior to that of outside vendors. The Position:

Reporting to the Technical Manager, this position is the first point of contact for the Biology Service Facility. This position is full time and required to be onsite Monday-Friday, 8am to 5pm.  A qualified candidate will coordinate and assign requested work from departments to BSF technicians.  This position will facilitate each job request from start to finish by entering and assigning new work orders in a work flow management software, ordering parts, picking up materials, keeping record of time and status while working alongside each technician, machinist and/or staff to get the job completed.

Primary Responsibilities

    Perform clerical duties including maintenance of records. Prepare letters, reports, records and other documents from rough drafts and corrected copies. Process incoming service requests and assign jobs by creating electronic work orders. Obtain departmental approval before work is started and communicate all work orders with staff. Order parts as needed for work orders, using a procurement card or assigning a purchase order.Upon request, scribe minutes of formal and sometimes confidential meetings.Manage conference room reservations.Keep an accurate inventory on office supplies and order when low.  Sort incoming and outgoing mail; maintain key and vehicle logs when they are checked in/out.Report all maintenance and cleaning issues requested to Facility Services; send out building notices for outages, alarms, drills, etc. to Division of Biology.Performs other related duties as requiredAssist in estimating materials, supplies, and labor hours for projects.Assist in record keeping and EPA requirements for refrigeration gasses and chemical logs.Maintain a safe and clean working environment.
 



Qualifications
Required Qualifications

Education:

  • High school diploma or GED
Experience:

    1-2 years of professional experience in an office setting, or equivalent clerical experience. 
Knowledge, Skills, and Abilities:

  • Ability to type
  • Excellent grammar skills and ability to proof or draft formal letters and reports.
  • Excellent communication skills both written and verbal.
  • Ability to maintain confidentiality when ask to scribe meetings or review writings.
  • Excellent organization with ability to multi-task.
  • Excellent verbal and written communication skills.
  • Basic clerical skills to include data entry and ability to type.
  • Ability to quickly understand and use various computer software.
  • Ability to work effectively as part of a multidisciplinary team.
  • Ability to look up parts via online schematics and catalogs.
  • Ability to learn and utilize a Computerized Maintenance Management Software system (CMMS).
  • Capable of continued learning and progression as tools and equipment advance.
Preferred Qualifications

  • 3 years of experience in clerical work in an office setting.
Salary:

Commensurate with experience and other qualifications.
