Event Coordinator

Position Summary

The College of Law Event Coordinator will plan and manage the development of, assist in, and participate in the planning and implementation of college-wide programs, events, seminars, conferences, and symposia to ensure all goals are met. Through evaluating circumstances and utilizing critical thinking, the Event Coordinator responds to event requests by interpreting and following University policy and procedure. This includes pre-event decisions and onsite logistical requirements, meal functions, room layout, and audiovisual needs; acts as a liaison between event sponsor and service provider; coordinate and chair planning committees; monitor the college-wide event calendar; develop and manage event budgets. The College of Law events are located on-and off-campus; ability to possess a valid vehicle operator’s license is required.

NON-STANDARD/VARIABLE WORK HOURS: Evenings and weekends are required to manage the event schedules.

DUTIES AND RESPONSIBILITIES

  • 50% Plans, manages, assists in, and participates in the planning and implementation of College-wide events, seminars, symposia, conferences, and special themed events, including Commencement.
  • 10% Select appropriate sites for events that meet both educational and budgetary goals.
  • 10% Gathers and analyzes information from various sources to make determinations, decisions, and recommendations for College events.
  • 10% Coordinates and monitors College-wide calendar of events to ensure time is effectively scheduled and that all requests are equitably balanced and do not conflict with religious holidays.
  • 10% In collaboration with the Office of Communications and Marketing, creates College of Law branded templates for event materials, registration, nametags, etc.
  • 10% Perform other duties in support of College-wide events and offerings as necessary or assigned.

MSU Law is a dynamic learning community with around 700 students, 55 faculty members, 50 staff members, 5 librarians, and 7 legal clinics. We offer nationally ranked programs in Intellectual Property and Trial Advocacy, an acclaimed Indigenous Law and Policy Center, as well as the Animal Legal and Historical Web Center. Faculty members lead the academic dialogue in a wide range of fields, including social justice, innovation, and business and regulatory law.

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which would normally be acquired by completing a four-year college degree program in Hotel, Restaurant and Institutional Management or a related business field; three to five years of related and progressively more responsible or expansive work experience in institutional housing or institutional conference coordination; or an equivalent combination of education and experience.

  • Certified Meeting Planner designation.
  • General knowledge of the legal profession.
  • Ability to work with a diverse group of people.
  • Excellent communication, writing, editing and proofreading skills.
  • Experience with Microsoft Word, Excel, and PowerPoint as well as experience with other types of CRM databases, etc.
  • Ability to negotiate rates and terms of agreements to secure business.
  • Ability to prepares financial and operational reports regarding conference and related activity.
  • Collaborative in nature and willing to work with multiple units in accomplishing event-related goals.
  • Demonstrated work orientation that includes a service focus, problem solving, teamwork and adaptability to change.
  • Self-motivated with demonstrated personal conduct, work ethic and commitment to quality and has the ability to manage administrative and logistical aspects of Law College events.
  • Must be able to anticipate project needs, understand priorities, and meet deadlines with little supervision.
  • Ability to propose new ideas to improve the work process.
  • Ability to manage multiple projects and assignments.
  • Excellent interpersonal skills in person and by phone with high professionalism.
  • Pleasant personality, outstanding customer service, enthusiastic and ready to aid in the success of Law College special events and activities.
  • Will require prior to the completion of the probationary period: valid vehicle operator's license.
