Administrative Business Analyst

Position Summary

The Administrative Business Analyst will:

  • Collect, interpret, process, and monitor HR activities and paperwork for support staff, temporary, and student employees
  • Initiate the hiring process, interviewing, coordinate timesheet submission and payroll entry for the department, complete I-9 verifications, manage the youth program criminal background check process, monitor student health risk compliance, track conflict of interest and RVSM compliance, promotions, raises, time off, leaves and terminations
  • Analyze human resource processes and propose creative solutions to increase operational efficiency
  • Serve as a resource (along with the Business Manager) to faculty and staff for human resources processes
  • Coordinate with the Business Manager and campus units to ensure smooth onboarding for new employees
  • Initiate the account review process on a monthly basis for all department accounts (general fund, grant, endowment, and revenue)
  • Work in collaboration with the Business Manager to verify that transactions are accurate and complete and documentation is on file
  • Initiate transactions (Distribution of Income & Expense, General Error Corrections, Cost Redistributions) in a timely manner to correct errors
  • Process sub-award payments for grant accounts
  • Assist department office staff in processing financial transactions (Disbursement Vouchers, Requisitions/Purchase Orders), as needed
  • Deposit cash and checks received, initiate billings for Copy Center charges and maintain records
  • Assist in the development, maintenance and analysis of financial reports for the Department Chair, Business Manager, and faculty
  • Reports include: budget to actual (including encumbrances and forecasting), project-specific reports (as needed by the funding agency) and evaluating and monitoring salary distributions to identify funding gaps and ensure employees are paid from the correct account(s)
  • Analyze financial processes and propose creative solutions to increase operational efficiency
  • Serve as a resource (along with the Business Manager) to faculty and staff for financial processes
  • Coordinate the annual physical inventory process and work with faculty and staff to ensure asset records are accurate and complete
  • Unit Specific Education/Experience/Skills

    Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in a business-related field or in a field which corresponds to the particular department of employment; one to three years of related and progressively more responsible or expansive work experience in finance, human resources, and department operations or in performing responsibilities related to the operational activities of the employing unit; experience with word processing, database, spreadsheet, presentation software and/or desktop publishing, web page software; or an equivalent combination of education and experience.

    Desired Qualifications

    Bachelor’s degree in Business Administration or related field preferred; experience in Microsoft Office, EBS, SAP, and KFS; experience conducting annual inventory review; strong knowledge of MSU policies and procedures; a self-starter whose strengths include creative thinking, problem solving and ability to work on several projects simultaneously in a fast-paced, deadline-oriented environment.
