Job Summary

The Coordinator of the Miami Film Festival/Tower Theater Miami supports the daily administration and financial activities of the department, which may include budget reconciliation, financial reporting, contracts, and accounts payable and receivable. The position supports ongoing departmental operations and grant development efforts and compliance.

Duties & Responsibilities
  • Supports the daily financial activities of the department, which include budget preparation and control, accounting reconciliations, purchasing, business planning, management and reporting
  • Manages tracking and recording internal expenses/revenues, produces financial reports, processes payments, budget transfers and reconciliations
  • Manages contractual process, including but not limited to, drafting and routing for appropriate approvals, agreement for services, competitive bidding exemptions and documentation, justification memos; and ensures vendors comply with department protocol for invoicing and AP process, and that payments are issued as per contractual obligations
  • Coordinates the completion of documentation necessary for department employees i.e., request for personnel action (RPA) forms, network and VPN access and time and attendance system data entry modifications as requested by director
  • Handles grant compliance and the fiscal management of grants, including but not limited to, budget creation, opening/managing individual project’s restricted accounts and matching requirements, requisitions, invoices and/or journal entries and produces final reports
  • Submits external contracts to Legal Affairs for review, tracks contract expirations and obligations, and completes all annual permit renewals on a timely basis
  • Builds and maintains positive and proactive relationship with all stakeholders
  • Ensures compliance with MDC policies and procedures
  • Performs other duties as assigned
Minimum Requirements
  • Master’s degree from a regionally accredited institution in Business Administration, Management or related field with one (1) year of experience; or Bachelor’s degree from a regionally accredited institution in appropriate field with five (5) years of related experience
  • All degrees must be from a regionally accredited institution
  • Knowledge and understanding of College organization, goaIs and objectives, policies and proceduresAbility to quickly learn and navigate the policies and procedures of MFF/TTM
  • Ability to effectively navigate bureaucratic processes and multilayered hierarchical supply chains to find timely solutions
  • Ability to effectively compel timely action in a multi-faceted environment
  • Proven ability to effectively compel timely action in a bureaucratic environment Possess strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse communityPossess strong writing skills, including ability to write business correspondence, clear email communications, draft contracts and write reportsPossess excellent managerial skills with ability to make important sound decisions and effectively problem solve on a regular basisAbility to demonstrate confidence, articulation and professional speaking abilitiesAbility to adapt to demanding environments and maintain a high level of poise and professionalism in all circumstancesDemonstrated experience and strong working knowledge in business managementAbility to prioritize and organize multiple tasks to meet deadlinesProficiency in Microsoft office software and specific computer programs related to area of responsibility
