Timeframe: 35 weeks while classes are in session
Shift: Vary / Sun-Thurs 7PM-11PM, 11PM-3AM and Fri-Sat 7PM-11PM, 11PM-3AM, 3AM-7AM, 7AM-11AM, 11AM-3PM, 3PM-7PM
Regular Days Off: Pending on shift assignment
Salary: $14.25 Per Hour

General Statement of Duties:

Desk Assistants (DAs) monitor building access, enforce guest and University policies, and serve as a resource for residents and visitors. DAs help develop a sense of community within the residence hall, treating all members of the staff and the community equally, with respect and dignity. They are expected to act as a front-line representative of the University, providing information, direction and assistance to residents, faculty and staff. This includes notifying the proper authorities in the event of an emergency such as fire, crime, or medical issues. They must remain alert to their surroundings at all times and report any incidents to the Residence Director (RD), Residence Professional on Duty (RPOD), or other appropriate University official. DAs will be expected to have availability for both the evening/overnight and weekend shifts

This position is only guaranteed for the Fall 2021 semester and may not be available in the Spring 2022 semester

Duties and Responsibilities:

  • Provide customer service and support for residents, staff, and faculty.
  • Remain behind the desk for the entirety of the shift.
  • Support Resident Assistant (RA) staff as needed.
  • Utilize campus email, Microsoft Teams, and/or other designated method(s) to keep informed of all updates related to the position.
  • Respond courteously to questions from callers and walk-ins; assist students, staff and faculty, while in the residence halls.
  • Learn fundamental desk and security operations as instructed by Residential Life, Public Safety, Emergency Response Team, etc and implement all policies and procedures in a courteous and timely fashion.
  • Enforce all Residential Life and University policies as outlined in the Student Handbook.
  • Be aware of attitudes and behavioral patterns of residents and report any concerning behavior to the RD, RPOD, and/or other appropriate Residential Life staff.
  • Manage the circulation of residence hall supplies, logs, and all other materials as appropriate.
  • Maintain an accurate log of all incidents and interactions during shift and submit appropriate shift log and/or incident reports.
  • Compile accurate and timely reports using designated method for supervisor for each shift.
  • Maintain confidentiality of student information in accordance with University and FERPA policies.
  • Utilize The Housing Director (THD) to verify student information.
  • Participate in all trainings and meetings as required.
  • Communicate concerns or issues in a timely manner.
  • Serve as a liaison between Residential Life and campus partners.
  • Consult and review the Desk Assistant Manual on a regular basis.

Note: The nature of the DA position does not allow for all duties to be explicitly described. There will be times when hall staffs are requested to assist in an emergency or other unforeseen circumstance. These situations will be presented as thoroughly as possible at the time of need.

RAs are ineligible to hold the DA position


Requirements:

Required Qualifications:
  • High School diploma or GED
  • Must have the ability and willingness to work in a high-stress environment
  • Ability to work with and manage stress/anxiety of others
  • Enrolled students must maintain a cumulative GPA of 2.3 or higher

Preferred Qualifications:
  • Preference will be given to current Westfield State students who are living on campus.
  • Experience in security or a related field
  • First Aid, CPR, and/or AED certification
  • Effective communicator
  • Proven record of strong administrative skills
  • Ability to problem solve and to adapt quickly



Additional Information:

Salary:
For the majority of new employees, the minimum starting salary will apply. Specific salary for current Westfield State University employees and individuals currently working for the state of Massachusetts must be calculated individually in accordance with collective bargaining and state policies and procedures.
