THIS POSITION IS LOCATED IN KNOXVILLE, TN.

 

JOB SUMMARY/ESSENTIAL JOB FUNCTIONS:  This position is responsible for providing administrative support in an academic setting to the Chief of the Division of General Surgery and five faculty members in the Division of General Surgery. This position is also responsible for providing support to the Advanced GI MIS Fellow and acts as liaison to clinical and administrative staffs of the surgeons' private office and the staff members of GSM, the Department of Surgery, and the University of Tennessee Medical Center.

 

DUTIES AND RESPONSIBILITIES:

  1. Coordinates and maintains physicians’ academic schedules. Prepares and/or provides teaching and academic meeting documents.
  2. Provides telephone and email support to the physicians by directing telephone calls or taking and distributing messages appropriately.
  3. Maintains physicians' calendars and communicate appropriately to physicians' clinical staff, GSM staff, and department of surgery staff.
  4. Prepares and submits travel request and reimbursements for entry in CONCUR and assists faculty in making travel arrangements. Prepares and submits monthly time for physicians.
  5. Schedules each faculty's medical student lectures for the M3 clerkship.
  6. Prepares and maintains monthly on-call schedules in electronic call system (PerfectServe) and distributes schedules to clinical and administrative staff
  7. Maintains appropriate memberships, certifications, and fellowship statuses with professional societies and colleges. Maintains credentialing for appointment and reappointment for hospital medical staff privileges. Assists in obtaining and renewing state medical license and DEA license.
  8. Schedules and coordinates legal depositions and expert responsibilities for physicians.
  9. Provides administrative support to faculty involved in local, regional and national organizations of elected positions.
  10. Prepares and submits documents for Faculty evaluations to the Chairman's office and schedules individual evaluations.
  11. Attends Division meetings as directed by Division Chief and takes minutes.
  12. Performs other duties as assigned by Chairman's office and Division Chief.


Qualifications
MINIMUM REQUIREMENTS:  

 

EDUCATION: High School Diploma or GED (TRANSCRIPT REQUIRED)

 

EXPERIENCE: Two (2) years of experience in an administrative office setting; OR Associate Degree and six (6) months of office experience.  Ability to work with diverse personalities. Ability to function independently. Excellent computer skills. Knowledge of medical terminology and transcription. Excellent customer service skills.
