Job Summary

Reporting to the Executive Managing Director of the Hammer Theatre, the Client Services Manager works under limited supervision to direct all Hammer Theatre licensed uses including SJSU, community rentals and rental negotiations; oversees coordination of Front of House, Production and other support departments to ensure successful client experience; coordinates with the Administrative Analyst toward accurate accounting of licensed uses.

Key Responsibilities

  • Chief client services administrator and rental sales representative
  • Client account and relationship management
  • Client contract negotiation and management through execution, including deliverables
  • Prepare financial settlements for client events
  • Prepare financial settlement for Hammer Presents events
  • Prepare financial settlement for National Theatre Live events
  • Administrate client and Hammer Presents date allocation
  • Administrate client coordination with appropriate Hammer departments to ensure successful client experience
  • Mentor and assist new SJSU and community clients in planning their event towards a successful outcome
  • Collaborate with H&A marketing team for graphic, editorial, and photo/video journalism as well as Hammer website
  • Prepare (for EMD) periodic email updates of programming and initiatives to SJSU and external partners
  • Prepare periodic usage data for reporting to SJSU and external partners
  • Mentor and support faculty through grant application process for events at the Hammer

  • Ability to effectively establish and maintain cooperative working relationships in a diverse, multicultural environment
  • Ability to apply a high level of judgement, discretion, and initiative in coordinating the Hammer Theatre’s activities with diplomacy and tact to large and diverse number of SJSU and external clients and contacts
  • Highly skilled at complex written and verbal communications
  • Knowledge of the principles and techniques of organization, administration and management, organizational structure, functions and activities of the performing arts and higher education
  • Ability to effectively use all communication methods and formats and to use expertise, as well as persuasion and negotiation skills, to build consensus to achieve objectives
  • Ability to maintain confidentiality and appropriately handle sensitive communications
  • Ability to perform efficiently in a fast-paced, detail-oriented environment, handle multiple work priorities, organize and plan multiple projects
  • Ability to be proactive, resourceful and efficient, with a high level of professionalism and confidentiality
  • Thorough knowledge of office practices and procedures; computers and software, including word processing, spreadsheets, calendaring, and databases such as PeopleSoft/Oracle
  • Thorough knowledge of, or ability to quickly learn, a wide variety of policies, procedures and software specific to the University
  • Knowledge and demonstrated command of business math and event budgeting
  • Working knowledge of operational and fiscal analysis and techniques

Required Qualifications

  • A bachelor's degree and/or equivalent training
  • Two years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs

Preferred Qualifications

  • AA - BA – BS related to disciplines in the performing arts
  • Minimum of four (4) years of related experience in performing arts management, administration and/or production
  • Experience with financial projections, contracts, relational databases and spreadsheet applications

Compensation

Classification: Administrative Analyst/Specialist - Exempt I
Salary Range: $3,897/month - $7,051/month
