Stanford Introductory Studies (SIS) is a unit in the office of the Vice Provost for Undergraduate Education that manages required and elective academic programs for first- and second-year students: COLLEGE, Thinking Matters, Introductory Seminars, Education as Self-Fashioning, ITALIC, SLE, Sophomore College, and Arts Intensive.

SIS is seeking an Administrative Coordinator to provide administrative and operational support to our programs. As a member of the SIS business team and reporting to the Associate Director of Finance and Administration, you will provide administrative and finance support for SIS programs, including hiring student workers and processing financial transactions. You will manage complex communication projects and provide scheduling support to our Faculty Directors. Finally, you will assist with unit-wide administrative items, such as coordinating meetings and assisting with floor management. We are looking for an organized, detail-oriented, motivated individual with strong interpersonal skills.

In this role, you will:
  • Hire over 100 student employees to work with faculty in our programs. Guide on student employment policies and procedures.
  • Support the annual IntroSems curricular approval process for more than 200 courses working with colleagues across all seven schools. In addition to Microsoft Office, utilize specialized software and systems to track information provided by many different partners. Anticipate and track dates, events, and associated action items.
  • Event plan for unit-wide meetings and high-profile program events such as award ceremonies and welcome receptions.
  • Provide general administrative support for the unit, including office management, facilities, and day-to-day office operations.
  • Manage the Faculty Directors' schedules and board meeting arrangements.
  • Provide financial support for SIS programs, including processing a variety of financial transactions.

To be successful in this role, you will bring:
  • A high school diploma and four years of administrative experience, or a combination of education and relevant experience
  • Superb organizational skills and attention to detail
  • Exceptional customer service and interpersonal skills, especially in handling sensitive and confidential issues
  • A proactive approach to problem-solving and project management
  • A desire to learn and a comfortability with adapting to change
  • Excellent verbal and written communication skills
  • Demonstrated ability to perform duties with a high level of professionalism, flexibility, discretion, judgment, diplomacy, and tact

  • Associate or Bachelor's Degree
  • Experience in an academic environment
