Job Summary:

Marist College invites applications for an Executive Secretary to the President Emeritus.  The incumbent will perform a variety of administrative and clerical tasks, and will be responsible for the effective functioning of administrative processes in the Office of the President Emeritus.

Essential Functions:

The Executive Secretary will:

  • Provide administrative and clerical support to the President Emeritus.
  • Serve as the main point of contact for the Office of the President Emeritus with internal and external stakeholders - including phone calls, emails, and in-person visitors.
  • Manage the President Emeritus calendar, and support virtual and in-person calls, meetings, and events (e.g. attendance lists, catering, materials, technology).
  • Manage the office budget, including preparing and submitting expense reports and invoices.
  • Plan and coordinate travel arrangements, including international travel.
  • Prepare written materials, including routine correspondence and reports.
  • Maintain stakeholder databases and overall office file organization.
  • Work collaboratively with the Special Assistant to ensure the smooth administrative operation of the Office of the President Emeritus.

Minimum Qualifications:

This position requires:

  • Outstanding organizational skills and attention to detail.
  • Excellent writing, editing, and proofreading skills.
  • Proficiency in Microsoft Office suite programs and database management.
  • The ability to handle and prioritize multiple projects.
  • The ability to complete assignments with minimal direction.
  • Superior interpersonal communication skills, tact, and sensitivity, and confidence in dealing with a wide range of constituents, including senior College administrators, faculty, alumni, students, and community leaders.
  • At least six years of progressively responsible administrative experience, including budget management.

Preferred Qualifications:

A Bachelor's degree and experience working in a higher education setting are preferred.
