Job Description Summary

The Collection Assistant is responsible for a number of collection coordination and physical activities at both Special Collections & Archives in Z. Smith Reynolds Library and the ZSR Off-Site Storage facility (Public Services Team). The Off-Site Collection Assistant reports to the Director, Special Collections & Archives.

Job Description

This position will be accepting applications until October 1st, 2021.

  • This is a full-time position (37.5 hours a week with specified hours between 8:00 am and 5:00 pm, Monday – Friday).

  • This is a one-year appointment with possibility of renewal.

  • Pay Rate: $19.49 per hour = $38,005 per year.

Essential Functions:

  • Coordinates and manages Special Collections & Archives collection locations in the ZSR Library and Off-site locations.

  • Manages collection transitions from acquisitions and pickups, processing, and cataloging to Special Collections & Archives shelf locations, shifting and reshelving collections, and oversees box movement for patron scan requests.

  • Doing data entry related to shelving and inventory of collections, using computer and handheld scanner at both the Special Collections & Archives/ZSR and Off-site locations.

  • Driving library minivan for deliveries & pickups.

  • Loading & unloading heavy boxes weighing up to 75 pounds from minivan in outdoor weather year round.

  • Moving heavy loads with a pallet jack.

  • Shelving trays of books on shelving units that are 40 feet tall using order picker.

  • Retrieving and re-shelving books using order picker onto 40 foot high shelves.

  • Assembling cardboard shelving trays and large pallet boxes.

  • Searching for article citations online.

Other Duties/Functions:

  • Coordinates Special Collections & Archives collections shifting among a variety of storage locations (including ZSR and Off-Site Storage), reshelving books and archives boxes according to Library of Congress call number order and collection number order, and shelf reading to ensure proper order.

  • Coordinates management of Special Collections & Archives collection locations utilizing ArchivesSpace and Primo electronic management of collections, plus GFA software.

  • Manages Special Collections & Archives collection transitions from acquisitions and pickups from donors both on and off campus, processing, and cataloging to Special Collections & Archives shelf locations, and overseeing box movement for patron scan requests.

  • Supervises student assistants doing Special Collections & Archives reshelving work, and develops student assistant training materials for collections areas.

  • Transports materials between donors, office, Z Smith Reynolds Library, and the Offsite Storage facility, including unloading boxes, sorting material into trays, and using computers to accession the material into the Special Collections & Archives and Off-Site location systems.

  • Assists the Off-Site Warehouse Manager with delivery of physical items to and from the ZSR Library and the scanning of articles and book chapters. Also assists the Digital Collections Librarian with digitization and scanning work.

  • The Assistant must be willing and able to use an order picker on a lift that reaches 40 feet up to retrieve material from the storage facility.

Required Education, Knowledge, Skills, Abilities:

  • Associate’s degree or equivalent.

  • Practical experience maintaining detailed and thorough organizational systems.

  • Practical experience with project management.

  • Requires a valid driver's license and the ability to be insured by the University to operate the Library van.

  • Ability to operate an order picker to the height of 40 feet.

  • Ability to work independently and autonomously.

  • Knowledge of and skills to use basic computer software, phone, fax, and email applications.

Preferred Education, Knowledge, Skills, Abilities:

  • Experience with using an order picker lift.

  • Experience with using ArchivesSpace, Illiad, Alma/Primo, GFA software.

  • Experience with inventory management and warehouse work.

Accountabilities: Responsible for own work only.

Status: Non-exempt, full-time, one-year appointment with possibility of renewal.
