SUMMARY:

Reporting to the Chief Marketing and Undergraduate Admissions Office, the Administrative Assistant supports our leaders within the division to manage mostly logistic support and business-related tasks for the team such as creating reports, organizing travel and accommodation, assisting and managing calendars, including to schedule the meetings, and taking minutes, and other organizational tasks. Processes personnel actions, prepares template-based contracts for both service and internal personnel; responds to customer/client inquiries; and maintains insights, recommends decisions, and provides timely institutional commitment to the achievement of excellence and diversity among its staff, students, and Washington D.C. business community with Gallaudet University’s academic and culturally inclusive environment.

PRINCIPAL ACCOUNTABILITIES:

  • Provides high-level administrative support to the Chief Marketing and Undergraduate Admissions Officer.
  • Assists the department leaders with logistical support in areas of operations; and with communications in promotions and marketing practices.
  • Schedules and conducts regular meetings with assigned staff, prepares travel arrangements, and other arrangements as needed.
  • Promotes and practices the highest standards of professional ethics and interactions with others.
  • Strategizes on outreach and student engagement, all towards communicating the mission and message of University.
  • Processes contracts and purchase orders for University Communications business clients; and works with clients and University Communications personnel to deliver exemplary customer service.
  • Monitors social media to gain insight on student and community experiences as it relates to our brand and programs and communicates information appropriately.
  • Assists social media platforms, e-mail communication and Web-based advertising as needed.
  • Handles and monitors fiscal transactions between clients, contractors and teams within our unit.
  • Coordinates events and outreach activities to highlight units and provide support for various campus outreach activities, provides support in event planning and coordinates leadership team and staff.
  • Supports the general film productions as needed.
  • Maintains a filing system, and keeps records, and prepares expenses and purchases reports for the fiscal year.
  • Supports the Independent Contractor paperwork and onboarding process, including to process their payment.
  • Establishes and maintains a positive and supportive working relationship with co-workers and supervisor.
  • Shows a genuine commitment to diversity, equity and inclusion in the workplace; and participates in activities and workshops to foster continuous learning.
  • Serves as a mandatory Title IX reporter; and takes annual Title IX training as part of the compliance effort.
  • Performs other duties as assigned.
  • SPECIFICATIONS:

    Required Minimum Qualifications (When the candidate’s resume meets these qualifications, it will be screened in.)

      Bachelor's degree.A minimum two years of experience in office administration (college student work and/or internship experience will be considered)Fluency in American Sign Language.

    • Demonstrated ability to work with and across University departments, outside constituents and groups.

    • Ability to work independently and manage competing priorities. Excellent organizational, interpersonal, and writing skills. Proficiency in Microsoft office applications, including Word, Excel and PowerPoint. Strong problem solving, analytical, decision-making and leadership skills. Customer service focused.

    The successful candidate will undergo a background check that must be cleared prior to working at Gallaudet University.
