Job Responsibilities:

The Citadel, The Military College is looking for a part-time, temporary Administrative Officer for The Citadel Distinguished Scholars Program. This person will report to the Director of The Citadel Distinguished Scholar’s Program and will provide administrative support to the program, its Program Committee consisting of full-time faculty, its Distinguished Scholars, The Citadel student body, the Advisory Board, and departments as needed. Will be responsible for the following; maintaining the budget, all administrative files, scheduling meetings and coordinating activities, appointments and engagements. Must be able to prepare meeting/event portfolios for the Director and Advisory Board as well as facilitate correspondences with donor’s acknowledgements and Advisory Board engagements. The Administrative Officer will also be closely involved with and serve as an advisor to the Program Committee and the Advisory Board, a group of highly talented, successful, diverse, and well-educated Charleston community members. Will also work with the National Association of Fellowship Advisors, who serve Programs like The Citadel Distinguished Scholars.

Required to process all incoming mail as well as establish protocols for timely and efficient management of correspondence. Will handle the scheduling of appointments, reserving space on campus, planning meals and responding to requests for assistance in other matters for the Director and other administrators. Will be in frequent contact with faculty, students and distinguished donors.

Minimum Qualifications:

Bachelor’s degree with at least 2 years of administrative experience. Must have good interpersonal relationship skills and possess superb organizational skills. Must maintain a professional demeanor at all times and use discretion in creating, transmitting, and securing confidential documents and materials. Requires strong customer service skills and the ability to handle complex issues of a confidential nature. Must be proficient in Microsoft Office suite programs. Employee must be trustworthy, as he/she will have access to sensitive information. Must be willing to adjust duty hours as required during time of heavy workload and special events.
