Program Coordinator for External Relations

The Program Coordinator for External Relations in the College of Business (COB) assists with the development and delivery of programs offered through the COB External Relations team including alumni relations, the Lifetime Entrepreneurship Award Luncheon, volunteerism, and community outreach. The primary duties of this position are to (1) assist the Assistant Dean for External Relations with day-to-day activities, (2) manage the volunteer programs (3) organize and coordinate projects and events, and (4) assist with the implementation of goals and objectives of the Alumni Relations program. Evenings and weekends required. Other duties as assigned.

Job Duties:

Responsible for the planning and executing for College of Business events.

  • Plans, organizes, implements College of Business events.  These activities include event planning, logistics and management (to include venue/room selection), technology support, catering, room design and set-up, parking, and procurement (to include accounts receivable/payable).
  • Manages all Lifetime Entrepreneurship Award (LEA) luncheon activities from design to execution including the management of the Alumni Leadership Team LEA sub-committee. Supervises and directs the LEA contracted event planner.
  • Coordinates and promotes co-sponsored events with compatible groups in the community and college. Responsible for the marketing and communication of programs and events.

  • Collaborates with the Marketing and Communications Manager to maintain the Alumni Relations, LEA, volunteer, and external relations websites.
  • Collaborates with the Marketing and Communications Manager on marketing strategies and efforts including email campaigns, press releases, advertisements, social media marketing, marketing piece design, event calendar submissions, media promotions, and general community and university communications.
  • Oversees the Alumni Relations newsletter quarterly to contact databases.
  • Collaborates with third party vendors and independent contractors as needed for program facilitation (to include invitations, event videos, and other promotional items as needed.)Assists with the planning and administration of programs.

  • Collaborate with the Career Development Center regarding career programming for alumni.
  • Recruits alumni and community members for the volunteer programs.
  • Directs the application, tracking, and matching process for volunteers to programs.
  • Organizes program and event records including data, information, and results on all in-process and past programs.
  • Responsible for following all CU procurement policies with regards to program expenditures.
  • Coordinates events and activities with the UCCS campus alumni relations office.
  • Manages, updates, and coordinates volunteer opportunities in the College of Business via Galaxy Digital in coordination with the Campus Alumni Association.
  • Oversees the community outreach efforts.

  • Builds relationships and communicates with College of Business alumni and other stakeholders.
  • Manages the Alumni Leadership Board and its sub-committees.
  • Assists in the planning, organizing, and implementation of events, programs, and activities for the College of Business.
  • Assists the Assistant Dean with the management of all the College of Business boards. Job Competencies:

This position has been determined to be exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

    What We Offer

    Salary Range: Generally starting at $40,342 - $52,054 per year.

    The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

    Tentative Search Timeline:

    Qualifications
    Minimum Qualifications:

  • Completed Bachelor’s degree from a regionally accredited institution.
  • At least two (2) years of full-time equivalent administrative experience.
  • At least one (1) year of full-time equivalent professional event planning experience (for example, as a job duty of a current or previous position).Preferred Qualifications:

  • Experience working with alumni relations, executive education, or external relations in higher education is strongly preferred.
  • Experience working with faculty and staff in a traditional university setting.
  • Experience with campus information systems and reporting tools (e.g. PeopleSoft, Concur Travel & Expense System).
  • Experience with marketing tools (e.g. Marketing Cloud, Cvent, Drupal).Physical Requirements:

  • While performing the duties of this job, the employee is frequently required to sit. 
  • Employee is occasionally required to move.
  • Tasks may involve using a computer screen continuously for long periods of time
  • Ability to type on a keyboard and use a mouse continuously for long periods of time.
  • The employee must occasionally lift and/or move up to 20 pounds.
