Department Description:

Employee Services provides the CU community with excellent, comprehensive services from recruitment to retirement. This office provides subject matter expertise in benefits administration, payroll processing, HCM and strategic HR programs. The functional areas of Employee Services include Payroll, Benefits, Retirement, HRIS, Learning and Development, International Tax and Human Resources.

Position Description:

The Administrative Professional is located in the Employee Services Department within the System Administration Office at 1800 Grant Street in Denver. This customer facing position is supervised by the Assistant VP of Employee Services and is responsible for a broad range of professional-level tasks and administrative duties in support of the Employee Services Leadership Team, the department as a whole and to the centralized functions in support of payroll and benefits.

This multi-faceted position works closely with numerous internal and external constituents and is required to demonstrate professional customer service while assisting, informing, and directing customers to appropriate resources. The Administrative Professional acts independently and exercises initiative to achieve goals and objectives.  This position needs to be able to communicate effectively, both orally and in writing as well as the ability to establish and maintain positive relationships while ensuring confidentiality. This employee must be self-directed and possess project management skills, effective analytical and problem-solving skills, work well under pressure, and an ability to handle complex, multiple, and concurrent tasks. This position is detail oriented and must have a solid understanding of the Microsoft software suite, as well as data entry skills, and research abilities. This role must possess strong aptitude in order to learn components of PeopleSoft HCM, the department ticketing system and functionality of OnBase records management.

This position will be required to be onsite two to four days per week and is exempt from the State of Colorado Classified Staff system. 

Duties & Responsibilities

Duties and responsibilities of the position include, but are not limited to: 

  • Process Public Service Loan Forgiveness forms
  • Act as a Subject Matter Expert related to the University of Colorado’s (CU) Scope of Work program
  • Review and assign customer support tickets through Cherwell ticketing system, distribute voice messages, faxes, e-mails, and mail sent to Employee Services
  • Upload and review documents and perform daily audits in OnBase electronic Records Management software system.
  • Interact closely and collaborate with UIS service desk and technology refresh processes
  • Respond to external customers’ basic questions such as due dates for payroll processing or submission of forms, and navigation of the department website.
  • Support data cleanup efforts by running reports and through HCM data entry
  • Maintain accurate training materials, procedures, and associated documents.
  • Assist with office management tasks when onsite, by maintaining ES conference rooms and assisting onsite staff with supplies and maintenance requests as needed.
  • Work closely with other Business Operations Team members to support projects and initiatives as assigned
  • When needed, help coordinate the Associate Vice President’s (CHRO) time and calendar including resolution of associated problems and conflicts.
  • Collaborate with appropriate employees to create meeting agendas and take notes when needed
  • Coordinate specific meeting arrangements and logistics for department employees, management team, and the CHRO. Meetings include, but are not limited to:
    • Leadership meetings
    • HCM Community meetings
    • Professional Development/Employee Recognition Events
    • Employee Services All-Staff Meetings
  • Provide administrative support to Employee Services Leadership Team and Department Employees as needed.
  • Support the university’s retiree/arrears billing process
  • Make travel arrangements / complete travel reimbursements for Employee Services Leadership Team and employees.
  • Ensure that purchasing adheres to Procurement policies and procedures and complete monthly expense reports to reconcile purchases.
  • Represent Employee Services Department as Floor Proctor, which includes:
    • Attend meetings as scheduled
    • Provide communications to Department Staff as needed
    • Communicate questions, concerns, and issues to building management.
  • Follow department processes to support the onboarding of new employees and offboarding of employees.

What we offer:

Salary: The salary range has been established at $50,000-$60,000.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

Qualifications
Minimum Requirements

  • Bachelor’s degree from an accredited institution of higher education or equivalent professional experience. (The educational requirement may be substituted by professional experience on a year for year basis).
  • Three (3) years of experience in general office responsibilities and procedures.
Preferred Qualifications

  • Five (5) years of equivalent experience as stated above
  • Experience with customer service ticketing software and records management software.
  • Experience with executive level support.
