Position Summary

This is a Non-Union off-site position located in Stamford, CT. Interacts with administrators, executives, trustees and the public in order to represent the Chief Investment Officer (CIO) and Executive Management of the Investment Office. Provides administrative support for the CIO, the Investment Office’s executive team and their related committees and professional activities. Primary focus is on answering and directing incoming phone calls / inquiries, aiding visitors to the Connecticut Investment Office, managing the executive team’s calendars and other administrative support to the Investment Office team.

  • Handles a broad range of administrative duties and ad-hoc projects across the team
  • Gathers, screens and relays sensitive information received from University executives, staff members and visitors including; the press, investment managers, and attorneys; prioritizes and responds to inquiries for the CIO
  • Answers and directs general Investment Office inquiries and incoming phone calls
  • Aids visitors from fund investments and/or other MSU offices
  • Provides confidentiality and discretion while maintaining the executive team’s calendars to prioritize and respond to inquiries from executive level personnel in a timely fashion
  • Performs calendar management, including the complex coordination of meetings and video conferences with multiple participants
  • Organizes and handles logistics for internal and external meetings, team events, training, and team off-sites
  • Assists with travel arrangements (flights, hotels, cars, etc.). Processes expense reports using the internal expense system
  • Office coordinator for the Connecticut office location; sorts, reviews and directs Connecticut Investment Office mail, coordinating with Michigan Investment Office on all matters, including drafting responses and maintaining logs to track delegated matters
  • This is a Non-Union Position.Unit Specific Education/Experience/Skills

    Knowledge normally acquired through a high school education with course work in word processing, typing, shorthand, and grammar; five to eight years of related and progressively more responsible or expansive University work experience in maintaining account ledgers, word processing, spreadsheet, database, and presentation software; editing, composing correspondence, taking dictation; or an equivalent combination of education and experience.

    Desired QualificationsExperience and ability to thrive and work with external clients and executive management under highly demanding conditionsExperience in the financial services / alternative investment industry is a plus.

    Excellent phone manner and management

    Advanced thorough knowledge of MS Outlook

    Proficiency working with automated expense tracking, online travel(e.g., Concur)

    Excellent organization skills, time management and attention to details

    Self-starter with ability to work independently, anticipate needs and make sound decisions with minimal direction

    Ability to handle multiple tasks and concurrent assignments in a demanding environment with high degree of accuracy. Demonstrating follow through on all assignments.

    Capability to work in partnership in a team environment and to assist others as needed

    Strong interpersonal and communication skills
