Administrative Assistant for Cancer Prevention and Control Program - Georgetown University Medical Center

The Cancer Prevention and Control (CPC) Program is the nexus for population sciences-focused research at Georgetown Lombardi. Its mission is to conduct innovative and impactful population sciences research across the translational continuum, from discovery to intervention to policy, to help alleviate the burden of cancer. A unique aspect of the CPC Program is its capacity to rapidly translate findings through the phases of this continuum within and across each of the Program's scientific aims.

The Administrative Assistant supports the day-to-day administrative requirements of CPC faculty and staff members of Population Science Research. Reporting to the Administrative Director (AD) and [providing direct support to the CPC Program Leaders, the Administrative Assistant has duties that include but are not limited to:
  • Administer electronic preparation of grants, research protocols, surveys, and manuscripts
  • Develop slides and other documents for faculty presentations
  • Draft cover letters and memos for manuscripts and meetings
  • Monitor, maintain and order office supplies as needed
  • Make travel and meeting arrangements
  • Schedule and set up conference calls, Zoom Meetings, and express mail pickup/delivery
  • Schedule and maintains conference room schedule for CPC faculty and staff meetings
  • Maintain calendars for AD and Program Leaders
  • Serve as the primary CPC program point of contact for mail - including distribution of incoming mail and management of outgoing mail
  • Gather information pertaining to research, including obtaining bibliographic material from libraries, government agencies, authors and electronic resources
  • Supports preparation of NIH correspondence, progress reports and continuation documents
  • Maintains bibliographic databases for all supported faculty
  • Work with other Administrative Assistant to ensure that visitors are greeted and directed when arriving at the suite
  • Coordinate with building management for any issues related to the CPC office space
  • Coordinate with OTM for faculty, staff and visitor parking
  • Orient all new research and administrative employees in policy and procedures
  • Prepare materials and introduce employees to GUMC systems


Qualifications
  • Bachelor's degree or the equivalent work experience
  • At least 5 years of experience in an administrative office environment
  • Experience with MS Office and Google Docs
  • Experience using bibliographic software - for example, EndNote, Zotero
  • Excellent oral and written communication and inter-personal skills
  • Weill organized and ability to work independently as well as cooperatively as a team member


Preferred qualifications

Experience using Workday/GMS or similar financial management software
