We are seeking a Marketing and Events Coordinator to support all communications efforts within the Scott Institute. In this role, you will be help to promote the Scott Institute and its defined strategic objectives through engaging newsletters, content, and compelling events for various target audiences.

You should be able to effectively interact with a dynamic population of internal and external partners with a high level of integrity and who will support the mission of The Scott Institute as well as the broader mission of the university through their work in a fast-paced, energetic environment. This person will play an important supporting role to:

 

  • Purposefully nurture current and prospective relationships to deliver world-class marketing support at CMU while using the network of talented CMU faculty, staff and students with key regional, national and global collaborators.

     

  • Facilitate communications with our constituents, including CMU faculty, students, alumni and industry/government research funders in energy, who are seeking to work in partnership with CMU, to gain a better understanding and to connect with the university in the areas of energy and cleantech.

Core responsibilities will include:

Deliver exceptional content, web site curation, and communications support

 

  • Monthly Newsletter – In partnership with Executive Director and the Digital Communications Manager, gather, write and distribute a monthly newsletter to 10,000+ stakeholders 12-14x per year, including alumni, industry leaders, and government officials, tracking with analytics. Writing, consolidation of content, conversion into Mailchimp format.

     

  • EST&P Support – Lead support for CMU’s master’s program in Energy Science, Technology and Policy, including web marketing, outreach campaigns, and the like.

     

  • CMU Energy Week 2022 – Oversee myriad aspects of CMU Energy Week 2022, including the registration site for 1000 attendees, both virtual and in-person. Create support materials to drive attendance. Help with poster session, PowerPoint development, et al. Assist with materials for sponsorship support. Help with recruitment of sponsors and volunteers.

     

  • Database Management and CRM – Adding new names to the database, and creating targeted lists. Creating reporting on audience participation including new ways of engagement.

     

  • Communications – Draft communication for internal and external distribution, including announcements about seed funding, student scholarships, energy club activities, fellowship opportunities, RFP solicitations and announcements, accelerator program insider information, and partner opportunities.

     

  • Social Media – Coordinate social media activities including the development and posting of content as well as identifying potential external outlets where content should be posted. Create content including graphics and short videos (where appropriate – lectures, reels, stories, etc.) for social media assets. Propose methods for engaging content (e.g. original text, photos, videos and news) featured in daily posts, monthly newsletters and more. Further strategically develop the organization’s social media followers by writing and publishing original content by target audience. Develop and implement a strategy for growing our audience and inspiring action.

     

  • Content Creation – Research and write articles about faculty expertise, areas of energy interest, start-ups, and the like. Create event announcements. Edit and develop graphics within an editorial calendar. Publish documents. Interview subjects for articles, gather images, and archive.

     

  • Event Marketing – Create invitations and Zoom links for speakers and webinars, help to draft customized invites, and work on targeted distribution lists. Provide admin support for both in-person and virtual events, including staffing registration tables, working with speakers and technical staff on audio visual needs, attending events for reporting, video, and photography, and other similar activities. Post videos on web site, and manage “Archive” section.

     

  • Partner Communication – Work with partners to amplify collective communications efforts, including our start-up community. Deliver communication and marketing cross promotions to support key relationships with national labs, the Department of Energy, industry, and other partners.

     

  • Faculty Affiliate Program – Lead the on-boarding of new faculty as Faculty Affiliates. Update web pages, find a faculty feature online, manage the distribution lists, and monitor for questions.

     

  • Writing and Editing – IMPACT Annual Report, Tech Guides and other collateral materials – Curation of the content, copywriting and editing.

     

 

Program Coordination for the American-Made Solar Prize

 

  • Foster relationships with NREL team. Ensure NREL staff and programs are properly engaged including planning and set-up, reporting, interacting with program coordinators.

     

  • Set calls with start-up competitors in coordination with our internal mentoring team.

     

  • Meet with partners, take notes, and report on progress.

     

  • Draft reports and ensure that projects are submitted on time and with high quality.

     

  • Prepare and provide regular and special periodic reports to Executive Director.

     

  • Develop effective and coordinated program communications including briefing documents, reports, updates, thank you notes, etc.

     

Help to grow the Scott Institute’s partnerships and community

  • Contribute to proposals in partnership with the team, as opportunities arise.

     

  • Help to mentor and/or manage interns and other staff, as needed.

     

  • Connect with other university departments, including other centers and institutes as well as the Energy, Science, Technology and Policy (EST&P) master’s program, to develop content.

     

  • Help to maintain organizational records and files, including Customer Relationship Management database.

     

  • Foster excellent working relationships with faculty, academic liaisons, alumni, and volunteers, as well as university and college staff and advancement teams.

     

  • Event videography and photography support.

     

  • Assist with note taking and preparing materials for reports.

Qualifications:

 

  • Bachelor’s Degree required

     

  • At least 2 years of work experience in communications, social media, graphic design, marketing or similar, and/or an undergraduate degree in an aligned field of study, with demonstrated success in increasing engagement

     

  • Highly adaptable and able to pivot project work when organizational priorities change

     

  • Demonstrated ability to effectively prioritize workflow. Able to execute a project from start to finish independently if needed

     

  • Excellent detail-oriented and organizational skills

     

  • Strong critical thinking skills, analyze data, recognize trends and drive strategic recommendations

     

  • Exceptional written and verbal communication skills, and a passion for communications

     

  • Ability to travel outside the Pittsburgh region and a willingness to work outside normal business hours. May require early morning, evening and weekend work, with advance notice

     

Technical Competencies:

 

  • Exceptional writing skills for both professional and social media audiences

     

  • Demonstrated fluency in Microsoft Office (Word, Excel, Powerpoint) and Google Suite, with database management and CRM platforms

     

  • Demonstrated fluency with WordPress or similar website content management systems, Canva, Adobe Creative Solutions, Mailchimp, Google Analytics, Data Studio, WooCommerce; experience with scheduling and evite platforms like Eventbrite a plus

     

  • Prior experience posting and promoting original and engaging content on LinkedIn, Facebook, Instagram, Twitter and YouTube

     

  • Prior experience with designing in Photoshop, Adobe Illustrator and/or InDesign or similar photo editing and design programs preferred

     

  • Photography and video editing preferred

     

  • Ability to track budgets and financials

     

  • Knowledge of brand campaigns and social media channels
