Schedule Information: 8:00am - 4:30pm Monday-Friday, flexibility to work occasional evenings as needed.

Hours per Week: 37.5

Duties of Position: Provides secretarial and administrative support and coordinates the operational details of the Hawks Care and Counseling Services Center. 

Provides secretarial and administrative support for the Center. Types and prepares letters, memos, reports, meeting minutes, and other materials as needed. Composes independent replies to routine correspondence. Opens and distributes incoming mail and prepares outgoing mail for the Center.

Serves as receptionist for the Center; greets visitors and answers telephones. Screens telephone calls; takes and distributes messages. Provides information about programs, services, policies and other general College information. Handles initial concerns and makes referrals to appropriate resources, as needed.

Schedules appointments and maintains the Center's calendars. Coordinates Center coverage and scheduling for employees, including staff, faculty and student workers. Coordinates meetings as needed.

Monitors and processes transactions affecting the Center's budget accounts. Maintains records and prepares expenditure reports for the Center manager.

Develops, organizes, maintains and ensures confidentiality of the Center's hard copy and computerized files and records including student and Center personnel records.

Trains and provides direction to student aides and clerical support staff working in the Center. Assists in the hiring and evaluation of student aides.

Prepares various reports; gathers and compiles statistics for special reports as requested.

Maintains inventory of supplies and orders supplies as needed. This includes office supplies, equipment, reference materials and print materials. Creates forms and other materials for the office and committees as needed.

Works with other campus offices to facilitate registration and support academic strategies for students in academic difficulty.

Provides computer support to Center staff, trouble shooting, problem solving and working with IT to maintain properly functioning computer systems to support academic advising.

Coordinates printing and distribution of materials.

Organizes and assists with special projects as needed.

Performs related duties as assigned.

Educational Requirements: High School graduate or equivalent with specialized training in office skills. Basic computer skills training with minimum keyboarding of 65 wpm.

Experience Requirements: Minimum of three years of progressively responsible secretarial/office experience and demonstrated administrative skills. Proficiency in word processing, spreadsheet and database applications required. Proof reading skills and bookkeeping/accounting experience preferred.
