Administrative Specialist IIJob Description:The Institute for Child Health Policy (ICHP) at the University of Florida is seeking a qualified andenthusiastic individual to coordinate work for a large, state-wide external quality review project (TexasEQRO). This individual will work in a team setting monitoring and coordinating project planning, workingwith Team Leaders to ensure tasks and activities by all project staff are on schedule. This individualkeeps the team apprised of related initiatives, updates, projects, and programs. This individual willcommunicate with faculty and staff as well as other internal and external constituencies. 40% Coordinates various administrative needs for Texas Project teams related to unit deliverables andspecial projects, as they arise. This includes maintaining timelines and work plans for in-house andoutbound deliverables, and monitoring progress to ensure that any issues are discussed and actionpoints are created. Responsible for managing the Texas Projects time allocation process for TexasEQRO project staff. Assist the Administrative Core supervisor with managing various aspects of andcoordination of annual out-of-state forum and workshops. Tracks and facilitates the completion for all IRBrenewals for Texas projects. Assists with generating monthly deliverable invoices and reports to serve asa back up to the Administrative Core supervisor. Meets regularly with the Texas Project team leaders,research coordinators, and the Administrative Core team leader to provide deliverable timeline updates.This position also includes responsibility for organizing team meetings and attending meetings to recordminutes and track deliverable updates. 45% Supports the Administrative Core team leader to facilitate recruitment, supply purchases,computer purchase, service requests and travel for the project. Coordinates personnel activities for TexasProjects by completing personnel request forms and assisting with writing position descriptions.Coordinates on boarding and orientation of new staff by ensuring that workstation is ordered, set up andappropriate software installed. Coordinates with the Administrative Core team leader to work with outsidevendors and UF purchasing to arrange contracts and ensure that requisitions and other paperwork areproperly completed. The individual in this position will also coordinate and attend regularly scheduledproject management meetings with Texas Project teams and Administrative Core Team leader. 10% Provides administrative support directly related to research activities to support the completion ofProject deliverables. This includes the provision of literature searches, data validation/certification andquality assurance activities for team deliverables, review of reports and general administrative support asrequested by Texas Project teams to assist with deliverable completion. 5% Other administrative tasks as assigned by the Administrative Core team leader to support TexasProjects.Expected Salary:

$44,700 - $51,400

Minimum Requirements:

Bachelor’s degree and three years of appropriate experience or an equivalent combination of education and experience.

Preferred Qualifications:Bachelor’s degree in a health sciences-related program and three years of relevant experience workingin an administrative capacity within an academic setting.Knowledge of the University of Florida, State and Federal rules, regulations, policies and procedurespertaining to extramural grant and research contracts. A comprehensive knowledge of the College ofMedicine administration procedures and practices. Ability to act as liaison and interact withprofessionals from various agencies, faculty, staff and university level contacts.Proficiency with Microsoft Office and Adobe, Web navigation tools and programs, and general computerfunctioning. Strong written and verbal communication. Ability to work independently and ability tocollaborate with faculty and staff at multiple levels. Bilingual Spanish speaking desirable.Special Instructions to Applicants:
