Assists the Administrative Service Assistant with overall Institute personnel administration as well as high-level administrative responsibilities including DoF appointments, reappointments, promotions and searches; HR appointments; Attendance management; and other Institute needs.


- Assist with DoF appointments, reappointments, promotion processes including: job postings and external advertising; compiling materials necessary for review and submission to the Dean of the Faculty - Assist with HR appointments, extensions including job approvals;postings; dispositions; gathering materials for submission to HR.- Assist with temporary and independent contract hires and payments through the Prime system- Maintain calendar of all upcoming appointment and reappointment deadlines

- Maintain PI personnel speadsheets- Organize and maintain Office Space - In conjunction with IT, update/maintain PNI directory- Maintain listservs- Quarterly review of staff absence management- Back-up for biweekly payroll approvals for bi-weekly and casual employees in TAM and student time in TimesheetX - Assist with Conflict of Interest, Certifications and other Institute needs

- Oversee new employee Onboarding processes including:welcome lettersmeet with new employee regarding work schedule and overview of TAM or absence management as applicableprovide materials necessary for training for labsofficespace requestslistserv updatesnotifications to IT, grants, and staff of new employee start date.building access requestskey and mailbox requestsother personnel requests


Essential Qualifications:

- Bachelor’s Degree or equivalent and 3 to 5 years related experience;- Ability to manage multiple priorities in a fast paced, changing environment;- Flexible;- Ability to creatively solve problems and formulate/implement process improvements; Excellent data gathering skills;- Self-Starter: ability to take initiative, self-motivate and function autonomously.- Able to handle frequent deadlines;- Excellent judgment


Preferred Qualifications:

- Personnel or HR Experience- Experience with University Systems and Software- Experience working in an academic environment in a science-related field- Familiarity with University Resources (Dean’s Offices, Provost’s Office, Treasurer’s Office, OIT).

- Familiarity with Princeton’s administrative procedures and policies.
