University Advancement is seeking a highly organized and motivated Development Associate to assist the development team for the School of Architecture Foundation. The successful candidate will play a critical role in the day-to-day workings of the development team by providing support for multiple development officers. The Associate will work closely with development team members to assist with travel and expense reimbursement, event preparation, scheduling, data entry, and reporting needs.
The development team for the School of Architecture is a small but very active team, consisting of a Director of Development, two major fundraisers, a Director of Alumni Engagement, and a Development Associate. As a result, all members have the opportunity and the responsibility to be involved in a number of different activities throughout the year—flexibility and a keen interest in learning are important characteristics for the Development Associate to thrive.
Data and Reporting:
Perform data entry and provide database management support, including but not limited to generating mailing lists, maintaining donor information, entering contact reports and proposals, and creating and tracking events.
Create and manipulate reports based on criteria provided by the director and development officers, including pulling data for regular weekly, monthly and annual reports for the Foundation.
Assist development officers with portfolio management and reporting using Advance, EverTrue, and the BI Portal.
Generate and track weekly stewardship reports.
Process payments for team expenses and reimbursements for development officers in an accurate and timely manner.
Enter and track gift processing requests, including collecting checks received at the Architecture School on a regular basis and following up with University Advancement Services to ensure they are processed correctly.
Participate in other financial processes for the Foundation as needed.
Assisting with Donor Relations, Engagement and Stewardship
Prepare materials for donor visits and draft donor correspondence for development officers.
Manage scheduling and meeting coordination for the director and other team members as needed.
Prepare board meeting and event materials and provide event support as needed.
Manage and produce acknowledgement letters on a weekly basis and condolence letters as needed.
Provide general office support as needed including editing correspondence, answering phone calls and emails, and coordinating travel.
Attend University meetings as representative of A-School team, as needed.
In addition to the above job responsibilities, other duties as assigned.
A high school diploma with at least one year of experience in an office environment. Experience as an intern or volunteer may qualify.
Proficiency with Microsoft Office programs.
Ability to work independently, using sound judgment to navigate obstacles as needed and complete tasks with minimal guidance.
Excellent verbal and written communications skills.
Bachelor’s degree with two or more years of professional work experience in an office environment.
Prior experience with CRM databases and other marketing or event software such as Advance, Marketing Cloud, Eventbrite, etc.
Prior bookkeeping or accounting experience.
