Assistant Director, Foundation Relations


Department Description:	
The Foundation Relations department serves as the university's central clearing house for all foundation interaction, including site visits, proposal tracking, foundation research, approach clearance and coordination.

Duties & Responsibilities:

Foundation Research and Analysis
Perform in-depth research on the online foundation databases for funding for specific projects, programs, or facilities.
Compile and analyze complex foundation financial data including assets, giving summaries, awards, and 990 information. Provide this research to development officers, faculty, and the Offices of the President and VP.
Train student workers to assist with foundation research.
Proposal Development
Create proposals appropriate to foundation guidelines in support of university priorities, both for university-wide and school specific programs/projects.
Train faculty and staff on grant writing and interpretation of foundation guidelines. Review prepared materials and advise on improvements. Develop strategic approaches to maximize potential for awards.
Grant Report Coordination and Submission
Ensure timely submission of the annual or semi-annual grant reports that are required by new and recurring foundation funders.
Independently gather and submit reports or coordinate the reporting process with the faculty and/or staff who run the funded program.
Submission and Tracking System Management
Serve as the university's gatekeeper for foundation interaction; ensure that intended submissions by development officers, faculty and the Office of Sponsored Programs have been cleared; and that contact with foundations are entered into Advance, Reeher and internal files.
Research and write accompanying materials requested by foundations, and maintain up-to-date documents required for attachment to grant applications.
Ensure that gifts and grants are appropriately acknowledged, grant agreements are completed and returned to the funder, and that thank-you letters from the Office of the President and other relevant parties are appropriately written and send in a timely fashion.
Independently manage the foundation tracking system including reservations, active proposals, and responses, and provide reports to campus stakeholders.
	
Qualifications:

Bachelor's degree required.
Five years of administrative and management experience, with specific experience in foundation development and grant writing.
Excellent communication skills on the phone and in person.
Good command of the English language including grammar, spelling, punctuation, formats, proofreading, and syntax.
Knowledge of and fluency in computing resources.
Knowledge of national foundation community and procedures.

Strategic skills in development of reports and data tools for ease of use by stakeholders.
Detail-oriented with excellent organizational and time management skills.
Possess the ability to communicate clearly and effectively in written and oral form.
Ability to become familiar with university history, departments, accounting procedures, and personnel policies.
Excellent skills in the use of specific equipment and tools as identified below.

Special Conditions of Employment:

A high degree of professionalism is required for this position since the work involves contact with important external and internal individuals, including CEOs, and program officers of foundations across the nation, as well as USD's president, provost, deans, and faculty.
Always, it is necessary to convey the university's appreciation for all gifts and all considerations of requests; a pleasant manner and an immediate responsiveness to any request or question.
Working in a small, task-focused department requires an attitude of teamwork, cooperation, and collegiality. Processing of the workload demands excellent computer skills.

Tools & Equipment Used:

Personal computer, database systems (BSR Advance, iModules, Reeher, Workday), Microsoft Office applications, telephone, fax, and other related office equipment.
Purchased databases include Foundation Center Directory Online and Foundation Search.
