School of Medicine, Office of Medical Education has an opening for a full-time University Staff (unclassified) Academic Services Program Manager position.

Nature of Work

Working closely with the Program Director of the Office of Medical Education and Student Affairs (OMESA) Manager will provide direct supervision of all curriculum staff functions and operations while carrying out the academic policies of the institution. As part of the School of Medicine Office of Curriculum, the Manager will assist in promoting the mission and values of the institution to the University community and build and maintain collaborative relationships that are essential to the success of the mission of the office. The Program Director also has planning, and operational line responsibility. The successful candidate will be a strong manager of people who is ethical, collaborative, and professional with a data driven approach to problem-solving. The incumbent must have proven management, communication, presentation, leadership, and planning skills necessary to collaborate productively with a diverse group of staff, faculty, students and the community. A commitment to diversity and an understanding of and commitment to medical education and the medical school experience are essential. A Master’s degree is strongly preferred and supervisory experience is required. Preference will be given to candidates with management level experience, advising skills, strong organizational and process management skills. The successful candidate will be able to work both collaboratively and independently and will bring a strong customer service orientation to the workplace.

Program Managers are responsible for the day-to-day operation of a program, function or work unit, including the development and implementation of processes consistent with college, school or departmental strategies and processes.

This position reports directly to the Program Director of OMESA and works as part of a leadership team with an indirect reporting relationship to the Assistant Dean of Medical Education for the Alpine and Summit (post-Clerkship) Curriculum

The Alpine and Summit Curriculum Manager will be responsible for the assignment, timeliness, and soundness of the work product of the direct reporting staff. The authority to hire, evaluate, resolve grievances and initiate disciplinary action will be part of the supervision exercised.

Examples of Work Performed

  • Oversee and coordinate the front-line customer service activities of office staff, to include the provision of in-person and telephone information services to faculty, students and other members of the public
  • Ensure effective communication and coordination between the Alpine and Summit Curriculum
  • Team and other educational units (Evaluations Office, Educational Technology, Student Life) to enable effective functioning of each unit.
  • Supervise the daily operations of the Alpine and Summit Curriculum Team, including curriculum delivery, tracking of faculty participation in curriculum, delivery of student exams, entry of electronic curriculum into curriculum content management system, routine and special electronic communications with students and faculty, small group session management, room scheduling, badging, and data entry to support student assessment and curriculum evaluation.
  • Direct effective processes for collecting student data; oversee input and maintenance of accurate student grades and/or attendance, ensuring adherence to FERPA and nationally recognized standards for student record keeping.
  • Work as an advocate for students and help identify and address ways to improve the student curricular experience and learning opportunities. Act as a resource for and liaison between the the Alpine and Summit Curriculum Team and other Curriculum Teams, Office of Student Life and other SOM off ices/services. 
  • Ensure exceptional customer service and administrative support to students and the Associate and Assistant Deans in the Office of Medical Education
  • Support Curriculum staff and ensure they have the necessary tools, skills, and learning resources to effectively achieve their key responsibilities
Staff Training and Development (25%)

  • Supervise the staff in the Alpine and Summit Curriculum Teamwhich includes annual evaluations, quarterly coaching sessions, progressive discipline measures, job description management, and recruiting.
  • Oversees the onboarding and training of all Alpine and Summit Curriculum Team members to ensure that they are properly trained and equipped for the completion of core job duties.
  • Develops staff members with a focus on cross-training and holistic skill sets to enable flexible coverage of various competing curriculum priorities
  • Oversee the development and maintenance of a central repository for important curriculum policies and processes related to Alpine and Summit curriculum support.
  • Ensures continuous quality improvement in the day-to-day functions of the Alpine and Summit Curriculum Team. This includes using independent judgement to review, analyze, and deconstruct process to attain optimal efficiency and productivity.
  • Sets expectations for staff to consistently identify and establish best practices for curriculum support processes. Holds staff accountable to developing Standard Operative Procedures for these processes for use in training and process improvement.
  • Prioritize understanding of staff personal and professional goals. Actively seeks out opportunities for growth and development of team members based on those goals.
Staff mapping and workflow management (15%)

  • Regularly assesses short, medium, and long-term curriculum support needs. Identifies staffing needs and ensures that team members are focused on support of correct priorities.
  • Proactively identify high-volume work times for curriculum support. Partner with other office leaders to recruit assistance and auxiliary staffing as needed to ensure the full support of curriculum events in the Alpine and Summit phases.
  • Partners with faculty leaders to understand staffing needs for successful curriculum delivery of all Alpine and Summit curriculum components. This includes regular attendance of key planning meetings and committees.
  • Work with appropriate staff and leadership to oversee the staffing of curriculum committees.
  • Establishes a culture of flexibility and embracing change. Strives to have a team which embodies these concepts and uses them to continually support a variable and personalized student curriculum.
Budgetary, Fiduciary, and procurement responsibilities – 15%

  • In adherence with University procurement policies, this position will oversee the procurement transactions for the Office of Curriculum (i.e. Concur approvals and CU Marketplace approvals).
  • When necessary, this position will submit Journal Entries to correct erroneous charges or to split payment among other offices and groups.
  • This position will participate in the annual budget setting process with the Director of Finance and Administration
Office of Medical Education Project Management (10%)

  • Assist in a project management capacity on key initiatives and projects related to Alpine and Summit Curriculum at the direction of the Assistant Dean of Medical Education for Alpine and Summit
  • Serve as liaison with other constituencies in the resolution of day-to-day administrative and
  • operational issues
  • Understand and be compliant with the School’s accreditation requirements around medical student curriculum.
  • This position will be responsible for building out process maps for the annual operations within the office.
  • Generate web-based, shareable visualizations that represent the annual cycles of the Alpine and Summit Curriculum Team.
Office of Medical Education Leadership Responsibilities – 10%

  • Serve as an administrative leader within the Office of Medical Education, and work to support the mission of the organization
  • Take on additional duties at the discretion of the Program Director of OMESA
  • Regularly collaborates with other OME managers and leadership groups to establish cohesive culture and policies across different teams.

Qualifications
Minimum Qualifications:

  • A bachelor’s degree in business, business management, administration, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution
  • Four years of proven progressively responsible, relevant, and successful administrative experience working as a professional in an accredited higher education environment
  • Proven experience with using data as a rubric for analysis and assessment
  • Must have advanced proficiency with Microsoft Word, Excel, Outlook, database manipulation, Internet searches, and email

Preferred Qualifications:

  • A master’s degree in business, business management, administration, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution
  • Experience with integrated student information systems, curriculum management systems, and learning management systems.
  • Must have proven ability to manage and lead staff to inspire teamwork and achieve established goals.
Knowledge, Skills, and Abilities

  • Conduct performance evaluations of assigned staff and coach staff for success.
  • Develop and set priorities for staff, working with the leadership team.
  • Inspire a collaborative spirit and encourage faculty and staff to think of personal responsibilities in

  • This position requires comprehensive knowledge of medical school curriculum and the functions
  • and structure of a medical school.

  • Experience with multiple modalities of electronic curriculum delivery.
  • Demonstrated ability to interact with highly educated professionals including physicians, PhDs,

  • This position requires knowledge of academic medicine, academic requirements for admission
  • into the MD program, medical school curriculum, and the functions and structure of a medical
  • school and the process of transition graduate medical education

Salary and Benefits:

The salary range (or hiring range) for this position has been established at $58,000-65,000

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.
