Job Description:

This position serves as the Administrative Support Assistant II for the College of Medicine’s Office of Student Affairs. This position provides clerical and administrative support for the Associate Dean for Student Affairs and coordinates events for the Office of Student Affairs. This is a highly professional position requiring daily contact with the public, faculty, university community and governmental agencies. This position performs a broad range of clerical/administrative duties and, as such, must present a professional demeanor and attitude, maintain a high level of confidentiality related to sensitive issues, and exercise independent and prudent judgment when completing the tasks and responsibilities associated with his/her duties.

Duties include:

  • Planning and organizing all major events in the Office of Student Affairs.
  • Assist the Associate Dean for Student Affairs with any other student workshop or orientations planned for students.
  • Responsible for receptionist's duties, including answering the telephone, taking messages or routing calls as necessary.
  • Maintains and distributes office mail daily.
  • Assist and support the Office Manager with the operation of the Office of Student Affairs by performing a variety of clerical/administrative support duties.
  • Monitors visitor access to the office and maintains security awareness.
  • Ensures receptionist area is kept clean and tidy.
  • Monitor HIPAA completion for current classes, receives and maintains e-filed Background Check and Drug Screen reports, and coordinates Basic Life Support (BLS) for incoming medical class.
  • Receive, sort, and open as appropriate incoming mail and correspondence.
  • Distribute and route materials to the appropriate office or person.
  • Maintain and issue office keys assigned to the space controlled by the College of Medicine’s Student Affairs.
  • Conducts periodic key inventory to ensure College of Medicine key records are up-to-date.
  • Assigns HMEB lockers and cleanout.
  • Submits and maintains work order/requests for housekeeping/maintenance requests.
  • Assists with special projects for the Office of Student Affairs as directed by the Office Manager and/or Student Affairs leadership.
Expected Salary:

$19 - $21 per hour; commensurate with education and experience.

Minimum Requirements:

High school diploma or equivalent and four years of relevant experience.

Preferred Qualifications:
  • Proficient with Microsoft Office Word and Excel
  • Ability to plan, organize and coordinate multiple project independently and as a team
  • Ability to effectively communicate (verbally and written) with faculty, staff and students
  • Ability to interpret general office priorities and work assignments
  • Ability to collect and organize data
  • Ability to maintain confidentiality Event Planning Experience
  • Customer Service Experience
