Job Summary

Reporting to the Assistant Vice Chancellor & Director and the Case Management Coordinator, the EEO & Title IX Assistant Case Coordinator assists with responding to and documenting all incoming reports, maintains, updates, and validates data in the Office for the Prevention of Harassment and Discrimination (OPHD) database and case management system. Compiles data and prepares internal and external reports and other compliance documents manage special projects, pursuant to departmental needs, and provides backup support to the OPHD Case Management Coordinator.

The EEO & Title IX Assistant Case Coordinatorr assist with entering new complaints into the case management system, recording the status of open cases, and finalizing data for closed cases. Prepares statistical reports on discrimination, sexual harassment, and sex offenses.

Additionally, responsible for all administrative processes and office operations. Manages the Assistant Vice Chancellor & Director’s calendar, coordinates investigative meetings for OPHD personnel, and manages OPHD external contacts.

Demonstrates good judgment in selecting methods and techniques for obtaining solutions. Provides customer service, including monitoring and responding to office email accounts, walk-ins, and phone lines. Manages, maintains, updates, and validates OPHD case management systems, databases, and files. Manages highly sensitive and confidential information and tracks deadlines. The Office for the Prevention of Harassment and Discrimination (OPHD) is a significant campus compliance unit housed within the Office of Diversity and Outreach (ODO). OPHD is responsible for overseeing the campus efforts to meet its requirements around Title VI, VII, Title IX and ADA compliance as well as harassment and discrimination under the UC Discrimination, Harassment, and Affirmative Action in the Workplace Policy and the UC Sexual Violence and Sexual Harassment Policy. OPHD is responsive to federal and state agencies including the Office of Civil Rights, the Office of Federal Contract Compliance (OFCCP) as well as requests and audits from the UC Office of the President (UCOP).

Required Qualifications

  • Bachelor's degree in related area and/or equivalent training or experience
  • Prior general office experience
  • Basic knowledge of databases and/or case management systems
  • Skilled in statistical analysis, data administration, and ability to provide time-sensitive reports
  • Ability to gather, organize and perform analysis in the completion of basic ethics and compliance reporting assignments
  • Ability to gather, organize, analyze, and report on issues and recommendations that are complex in nature
  • Sensitivity to cultural differences, ability to communicate respectfully and to work collaboratively. Understanding and sensitivity to the principles of affirmative action and diversity
  • Effective written and verbal communication skills
  • Effective interpersonal skills and ability to maintain confidentiality and handle sensitive information with tact and diplomacy
  • Demonstrated ability to function as part of a team and to collaborate with colleagues
  • Ability to work independently and appropriately escalate incoming reports
  • Ability to multi-task with demanding time frames and to use discretion and maintain confidentiality
  • Excellent communication skills and confidence to interact with personnel in various departments and levels
  • Punctuality and consistent attendance required

Preferred Qualifications

  • Basic knowledge of the ethics and compliance function
  • Applies ethics and compliance concepts in the completion of assignments
  • Knowledge of University ethics and compliance policies, procedures, and programs
  • Experience in providing support to investigators or as a paralegal in a law firm
  • Experience in working with case management systems, complaint handling, and preventive trainings
  • Experience in responding to and maintaining compliance with external regulatory requirements
  • Working knowledge and experience interpreting and analyzing University policies and implementing campus processes, protocols, and procedures
