Responsibilities

Collection Management Responsibilities:
  • Responsible for maintaining accurate and thorough documentation of art collection through database and other electronic and manual systems. Manages art acquisition process, including coordinating logistics and required documentation with donors and UCB Gifts-in-Kind Office. Creates baseline catalogue records for new art acquisitions, including examining artworks and ensuring accurate descriptive information, including coordinating with Preparators to gather information. Independently manages photography of art collection with contract photographers and uploads images into digital asset management system, including assigning file-names and metadata. Responsible for ensuring appropriate care and maintenance of collections in storage, working with the Director of Collections and Exhibitions and the Chief Preparator. Assesses condition of artworks and makes recommendations for needed conservation treatment; coordinates with contract conservators and oversees conservation treatments. Researches, redesigns, and updates collection forms as needed, in collaboration with Director of Collections and Exhibitions. Manages insurance for art collection and prepares quarterly insurance reports with Director of Collections and Exhibitions. Researches and responds to inquiries regarding the collection; coordinates access by researchers to works of art in storage as needed. Trains and orients junior staff. May oversee work-study students or interns.

Outgoing Loan Management:
  • Responsible for management of outgoing loans from the collection under supervision of Director of Collections and Exhibitions. Examines artwork for suitability for travel and recommends conservation treatment as needed. Reviews and prepares loan agreements. Determines appropriate crating, transportation, and display methods for artworks. Communicates with borrowing institution to coordinate logistics. Oversees packing and crating, loading and unloading of works of art by Preparators.

Collection Exhibition Management
  • Works with BAMPFA Director of Collections and Exhibitions, Curators and Chief Preparator on in-house exhibitions based on BAMPFA collection, including artwork condition assessment and managing logistics of moving artwork between storage locations. Takes lead in managing registration aspects of touring exhibitions of BAMPFA artwork, including condition assessment and documentation, communication with venues, and overseeing conservation, crating, and international and domestic transportation arrangements.

Collection Project Management
  • Collaborates with Director of Collections and Exhibitions in planning and grant-writing to fund special collection projects. Serves as work lead for art collection-related projects involving cataloging, photography, conservation, and archival storage. Plans workflow and oversees project staff, and serves as liaison between Director of Management and project staff. Collaborates with Director of Collections and Exhibitions to plan inventories and takes lead in inventory management. Analyzes and reconciles inventory data.

Rights and Reproductions
  • Manages rights and reproductions program, including coordinating publication and research requests for collection images, researching copyright status of artworks, processing forms, determining fees and invoicing, and maintaining record-keeping.

Other
  • Advises on and makes recommendations to resolve complex problems related to the collection. Serves as art courier. May periodically manage loan exhibitions. Examines artwork and prepares condition reports for loan exhibitions as needed. Other duties as assigned.

Required Qualifications
  • Minimum 10 years' experience working in art museum registration, with focus on collection management and outgoing loans.
  • Proven ability to plan and manage complex projects with minimal supervision.
  • Experience in all areas of art museum registration, including exhibition logistics and management, making crating and domestic and international shipping arrangements.
  • Knowledge and experience in the areas of collection care and storage.
  • Ability to work well as part of a team.
  • Strong written and verbal communications skills, including diplomacy.
  • Strong organizational and administrative abilities.
  • Thorough understanding of art museum standards and protocols.
  • Basic understanding of copyright law as it applies to artworks.
  • Strong computer skills, able to learn new programs quickly.
  • Art handling experience in a wide variety of media.
  • Experience as a courier.

Education/Training:
  • BA in Art History or Museum Studies and/or equivalent experience/training.
