Position Summary
The Office Assistant will perform administrative type duties including assisting management teams with ongoing projects; perform office duties that include, but are not limited to copying, scanning and filing; the maintenance of inventory records relevant to uniforms, equipment and training files; data entry and creating excel spreadsheets for various types of reports.

Essential Functions

  • Assists with the management of internal records within the Division, to include, but not limited to, employee personnel file, training, and inspection reports.
  • Provide administrative support to the Business Coordinator and Assistant Director when needed, to include, but not limited to the following functions:
    • The University's compliance under the Jeanne Clery Act.
    • The Divisions compliance with CALEA (Commission on Accreditation for Law Enforcement) accreditation.
    • The Division's role in its Selection, Hiring and Onboarding processes.
    • The Divisions Uniform and Equipment s inventory control processes.
    • Provides coordination for internal projects that impact the delivery of service and performance of Divisions Senior Management.
    • Creates and produces professional documents such as letters, forms, and spreadsheets for use by members of the Division.
    • Assists with the creation and distribution of the Divisions Leadership meeting minutes and internal newsletters.
  • Performs daily activity of the office operation including but not limited to:
    • Answering phone lines.
    • Performing a wide variety of data entry.
    • Responding to incoming inquiries (via telephone, email or in person) in a professional manner.
    • Typing routine correspondence.
    • Assisting with the purchasing of office supplies and equipment service requests are made.
    • Performs other duties and special projects for the Division/division as assigned.
    • Adheres to all Division and University policies, procedures, directives, rules and regulations.

Knowledge, Skills, and Abilities

  • Ability to read and interpret general business periodicals, professional journals, technical procedures, or government regulations.
  • Knowledge of office machines including copier, printer, laptop and desktop computer.
  • Proficient in Microsoft Office Suite.
  • Strong attention to detail, organizational skills and communication skills.
  • Ability to multitask and prioritize tasks given by multiple supervisors.
  • Exemplary interpersonal and customer service skills.
  • Ability to self-direct work.

Required Qualifications

  • High school diploma or GED.
  • 1 year of office/clerical/customer service experience.
  • Demonstrate and maintain good moral character.

Preferred Qualifications

  • Associate's degree or equivalent credit hours from an accredited college or university.
  • Experience working with Records Retention and associated data entry.
  • Comprehensive understanding of laws and regulations affecting institutions of higher education as well as non-sworn campus Law Enforcement Agencies, including but not limited, to FERPA and the Jeanne Clery Act.

Work Schedule
Maximum of 30 hours per week. Work schedule is normally set during Divisions administrative business hours, which is Monday-Friday 8:00 a.m. - 4:30 p.m.

Salary Grade Number
The salary grade for the position is 5.

Hourly Rate
The hourly rate for the position is $17.00.

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidates sex or any other protected status.
