The Constituent Engagement division consists of the Alumni Relations, Career Center, Hamilton Fund, and Advancement Events and Promotion teams.  The Associate Director, Advancement Program Management will oversee a variety of key programmatic initiatives and functions that support both the Constituent Engagement Team, and longer term, the entire Advancement Division.  In addition, the Associate Director will manage both the part-time professional student staff managers, as well as the broad student teams that are largely responsible for program execution.  The initiatives encompassed by this function include, but are not limited to, supporting Hamilton Fund dollar and donor acquisition, Career Center student developmental programming, Career Center alumni volunteer management, alumni engagement and volunteer management, events support, and promotions development and distribution across the entire advancement division. 

Responsibilities:

Constituent Engagement programmatic / structural oversight:

  • Serve as the owner and primary point person for:
    • Supporting the Hamilton Fund team in their donor solicitation and stewardship efforts
    • Driving Career Center student awareness building and skills training programs including curricular workshops, peer advising, drop-ins, residential programming, and programs for intact groups
    • Implementing Career Center student industry programming
    • Supporting Promotions and Events development across the entire Advancement division
    • Managing Reunion class student liaison program
  • Manage 2 part-time professional staff student intern managers
  • Participate as a member of the leadership team for student staff across Constituent Engagement, including (but not limited to) Discovery, Hamilton Fund, Reunions, and Events/Promotions teams
  • Along with functional area leadership from the Annual Fund, Career Center, Alumni Relations and the Promotions and Events team, lead the annual student team strategic planning process to coordinate the mission, goals, and tactics of group wide initiatives
  • Develop and implement procedural and tracking systems to ensure consistent processes, accountability, and reporting across the Constituent Engagement student teams to ensure goals are met
  • Plan, prepare, and implement a 5-day, bi-annual training/planning session across our student teams
  • Coordinate annual recruitment for all teams
  • Provide oversight for curriculum development and implementation of semester-long training of new team members
  • Maintain a large student staffing budget (varies by year)

Direct oversight of the Connect Team:

  • Strategic planning, including goal development, tactical plans, on-going evaluation, and strategy implementation and adjustment as appropriate to attain goals
  • Manage a leadership team of 6-8 student staff and approximately 35 student associate staff
  • Provide direct oversight to the Connect team, including offering guidance to the student leadership team in how to manage staff, stepping in when appropriate, and helping to resolve personnel issues as they arise
  • Lead weekly meetings with student leadership team, operations team, and each of 5 “clusters” - 6 total meetings per week - plus monthly full team meetings
  • Oversee the process of and provide feedback on student team strategic program planning and target list development
  • Continually assess team progress toward Connect Team program goals and adjust student assignments accordingly
  • Conduct quarterly performance review process
  • Maintain and administering individual Connect Team budgets and purchasing efforts

Qualifications:
  • Bachelor’s degree required
  • Master’s Degree in Higher Education, Student Personnel, or another related field preferred
  • 3-5 years experience working in career services, event planning, volunteer/student management, or a related field preferred.

  • A commitment to sharing information and collaboration and teamwork with colleagues
  • Proficient in technology - social media, Microsoft Office suite, Google suite, Slack, etc.
