Position Summary

The Student Services Administrator (SSA) reports to the Associate Dean of the Department of Nursing and is responsible for oversight of the pre-clinical nursing student population with the goal of ensuring the successful progression of these students through the nursing program. The SSA collaborates and works closely with the Associate Dean and Assistant Directors and provides coordination and consultation for components of the undergraduate program, including enrollment needs, curriculum, and general academic advising issues. The position requires communicating regularly with students and faculty.

Responsibilities
  • Serve as primary academic advisor for all new and continuing pre-clinical nursing students (freshmen, first semester sophomores, and transfer students). Also provides advising for student athletes in the program
  • Advise freshmen and nursing majors into appropriate schedules.
  • Meet with prospective nursing majors to provide information on nursing program.
  • Collaborate with university Office of Admissions, Chair of Nursing and Nursing Admission and Progression Committee to make recommendations and manage the admission process for acceptance into the nursing major and entry into clinical nursing courses.
  • Create and maintain current and accurate academic records for all students advised.
  • Establish and manage an electronic database to track student progression in completing pre-clinical nursing courses and minimum pre-requisite grade requirements.
  • Regularly compare records with the campus information system and update as necessary.
  • Provide accurate data to assist in projecting enrollment for nursing and pre-requisite courses.
  • Collaborate with Chair of Nursing and other department chairs to coordinate scheduling of required nursing courses and general education courses.
  • Serve as resource to nursing faculty regarding academic advising, graduation requirements, off campus coursework, university policies and procedures.
  • Produce summary reports as requested by the Chair of Nursing and Dean of School of Health, Natural Sciences and Mathematics.
  • Maintain regular and frequent communication with the Chair of Nursing and the Director of Undergraduate Nursing as well as Admissions, Registrars, and Academic Advising offices.
  • Review transfer student application files for admission into the nursing major.
  • Create and update list of equivalent transfer pre-requisites/co-requisites by Bay Area colleges and universities.
  • Participate in University-wide student retention planning and other campus committees as requested.
  • Serve on Nursing Petition Review Council.
  • Edit and maintain Nursing Department website as it relates to communicating curriculum requirements and program policies to current and prospective students.
  • Participate in Nursing Department meetings and activities as requested.
  • Plan orientations for freshmen and sophomore students.
  • Perform other duties as assigned.


Required Qualifications
  • Bachelor's degree from four-year college or university
  • Minimum of 4+ years of advising
  • Proficient with Microsoft Office Suite
  • Experience with database management
  • Excellent oral and written communication skills
  • Excellent problem solving and logistical skills
  • Must be able to communicate clearly and interact effectively with students, faculty and staff from a broad range of programs and disciplines
  • Ability to work independently and manage timelines in a deadline driven environment


Preferred Qualifications
  • Master's degree in counseling or related field
  • Experience in nursing advising
