Hofstra University is a dynamic community of more than 11,000 students from around the world who are dedicated to civic engagement, academic excellence and becoming leaders in their communities and their careers.Description:Performs a full range of senior executive secretarial duties and provides support to chairperson, full time and adjunct faculty and administration. Takes minutes at department faculty meetings. Prepares correspondence. Opens, sorts and distributes mail. Maintains all department files: full-time and adjunct faculty, majors, minors and course syllabi. Processes purchase requests, check requisitions and petty cash. Processes all deposits for department. Tracks all departmental contracts through the life cycle of the contract, including purchase orders and check requisitions. Responds to telephone and in-person inquiries about programs offered. Assigns advisers to declared majors according to their concentrations. Processes all special academic forms (waivers/substitution, change of grade, etc.). Point of contact for all student academic requests related to majors and minors. Prepares internal departmental onboarding and off boarding and orientation to office procedures including obtaining keys, etc. Assist with departmental social media accounts. Schedules appointments, and maintains calendar for departmental chairperson. Works closely with chairperson on class schedules and class audits. Submits workflows for adding, editing or deleting courses within the department. Issues override and tracks wait-listed student lists for all department courses. Hires, trains, schedules and supervises student workers for the office. Tracks and reconciles student employee timecards. May perform other duties not specifically identified above, but which require the same degree of skill and which are normally included with the above job title.

Hours: 9am - 5pm

*Subject to bumpingQualifications:Ideal candidate must possess the ability to handle sensitive information with discretion, excellent interpersonal, communication and organizational skills. Must be detail oriented with ability to work independently and function with minimal supervision. Proficiency with Word and Excel.
