Educational and Experience Requirement:

High School graduate or G.E.D. equivalent. Associates degree desirable. Experience in higher education or a related field preferred.

Nature & Purpose of Position:

Provides assistance of maintaining academic records to include the areas of transcript records, degree plans, degree evaluations, degree awarding, maintaining and updating staff training manuals, and supplemental tasks related to academic record keeping processes.

Primary Responsibilities:

Works with Graduation Coordinator and Assistant Registrar over Graduation to provide support in the form of student services, campus community, and alumni requests for academic information. Will support Registrar through direct and intentional attention to all academic record requests to include transcript requests, diploma printing, degree verifications, tuition rebates for undergraduate students, and academic record research of course catalogs. Will be expected to aid the graduation team with degree evaluations and tasks associated with graduation ceremonies. Serves as a back-up to the updating of sensitive student data within the system. Aids the Registration Team during peak registration periods with the verification of Firefighter and Peace Officer Exemptions. Will be expected to be fully trained in all student-related registration processes to include TSI knowledge and understanding. Aids in the process related to federal aid disbursement as it relates to the student degree plans. Full training in the Course Program of Study is required.

Other Specifications:

Requires a general knowledge of Excel and Word to perform standard office tasks. Knowledge of the Banner Student Information System and Degree Works is preferred. Requires adherence to Family Educational Right to Privacy Act (FERPA) and the ability to communicate the rules and policies effective to campus community including students, faculty, and staff, as well as alumni and parents. Applies policies and procedures to solve routine problems of a repetitive nature. Required to practice professional written and oral communication skills. Requires use of campus standard software and initiates self-training necessary for process improvements with expectation of proficiency in each system applicable to job duties. Maintains a positive and inclusive attitude with supervisory staff. Collaborative communication is essential with support coordinators within the office and may extend to departments outside of the Registrar including the advisement center, academic chairs, associate deans, and academic office staffing. Views the role of the Registrar as critical to student success and is committed to the key elements of student success. Seeks guidance as needed and seeks out personal growth opportunities through Talent Management and avenues of growth provided through the division of Enrollment Management. Dependability is crucial. Occasional travel may be required.
