Job Responsibilities

The Academic Records Coordinator manages complex duties involving grade and registration related activities for the Registrar’s Office. This critical position collaborates with several offices and high-level leadership in Student Services, the Division of Education, and Finance on time-sensitive and multifaceted requests relating to course cancellations, registration issues, course overrides, grades, financial aid issues, residency, appeals, and billing.


  • Managing all grade activities for all academic terms (20 total) including but not limited to auditing grades; updating grades, grade reports for dual credit and apprenticeship students, and updating academic standing; reconciling grade discrepancies and advising faculty, staff, and students on all policies and procedures as they relate to grading.

  • Making appropriate schedule changes, assessing registration status, resolving student complaints and registration issues, verifying records for registration and billing, performing necessary database corrections, and advising students on scheduling related activities as appropriate.

  • Managing all internal course registration requests from the Education Division and Student Services Chief of Staff’s Office including processing approved late additions, drops, and withdrawals. Processing approvals of reinstatements for never-attends and handling the rebilling process for residency changes. Managing requisite waiver process; reviewing transcripts, academic records, and transient documents for proper requisite requirements and providing requisite waivers as appropriate.

  • Developing training opportunities for faculty and staff as it relates to grading and registration. Serving as the subject matter expert for the Registrar’s Office. Researching Ellucian Hub for resources, information, and guidance.

  • Assisting the design, development, and implementation of policies, procedures, and communication-related to registration and grading in conjunction with Registrar’s Office management.


  • Minimum and Additional Requirements

    This position requires a bachelor's degree and two (2) years of student services experience.

    Preferred Qualifications

    Preferred candidate will have a master's degree in higher education or related field and working knowledge of the goals, mission, and purpose of the Registrar's Office. Excellent written and oral communication and time management skills; interpersonal skills, and the ability to establish and maintain effective working relationships with faculty, administrators, staff, students, parents, and teammates is essential to the success of this position. A clear understanding of the concept and operation of computerized database and word processing software is a must. Experience using Colleague, Etrieve, Discoverer, Adobe, and Microsoft Office or other similar technology is a plus. Must have the ability to maintain confidentiality and follow FERPA guidelines. This position requires a person who can work in a fast-paced environment and multi-task while using critical thinking skills to make decisions that will affect an academic record.
