Nature of Work

The University of Colorado Denver | Anschutz Medical Campus is currently seeking applications for an Education and Research Coordinator. This full-time, University Staff position, within the School of Medicine | Department of Otolaryngology – Head & Neck Surgery, is responsible for managing the Department’s Medical Education and Continuing Medical Education (CME) programs and providing coordination support for the clinical research mission.

Business Services Senior Professional

This position will function independently, by collaborating with the Residency & Fellowship Coordinator, and/or the Director of Finance & Administration (DFA), to communicate, document and support all medical education, fellowship, and CME activities and initiatives. This position will interact directly with the stakeholders of each Medical Education event and is the primary lead for all planning and coordination aspects for events. This role is a key contributor regarding all operational and financial aspects of the Department’s core programs/missions in Medical Education. This position also will support administrative functions of our clinical research mission and training needs.

Supervision Received

Reports directly to the Residency/Fellowship Coordinator. The Senior Professional also receives oversight from the DFA with regards to any university contracts and who serves as overall Fund Administrator and Approving Official of departmental financial accounts.

Examples of Work Performed

Specific duties and responsibilities of this position may include, but are not limited to, the following:

Medical Education Duties:

    Manages program operational activities and ensures that program goals and objectives are accomplished.Manages all administrative aspects of the Department’s Medical Student Education Program to include clinical and research rotations of CU students and externs, student interest groups, career fairs, and follow-up meetings with program directors for mentoring assignments and research opportunities.Analyzes current medical student educational program and services and suggest improvements in the management of the rotation schedules including identifying cost cutting measures as well as more efficient practices.Manages all aspects of the Mentored Scholarly Activity (MSA) program for the Department.  
  • Manage and maintain the Department’s education webpages (residency, upcoming events)
  • Develop and maintain Excel spreadsheets for reporting purposes as required.
CME/ASHA Duties:

    Manages all aspects of the Department’s CME/ASHA courses from development (obtaining CME/ASHA approval) to onsite execution of event, and everything in between. Manages all aspects of the Department’s non-CME educational activities, to include Resident events and faculty professional development events, as well as others as assigned.Prepares, submits, and monitors required paperwork to initiate Continuing Medical Education credits for Department’s annual resident conferences as needed.Works directly with faculty leaders (course or program directors) for coordination of individual events.Coordinates all aspects of event planning, including logistics, operations, and vendor support.Manages prestigious events engaging an international presence (i.e. Japan Lab, MEMRO)Provides on-site operational support of all educational events, which include activities outside of typical business hours and on weekends.
Fiscal Management:

Many of the Otolaryngology Educational event budgets, including the annual Midwinter Ski Meeting and Japan Lab, are greater than $100,000. The Senior Professional is responsible for managing and overseeing implementation of these funds, with oversight from the Director of Finance & Administration, who has overall responsibility for department funds, serving as the Fund Administrator and overall approving official. Within these parameters, the Senior Professional should:

    Negotiate and secure outside funding/educational grants to support various educational activities and courses.Prepare budget controls, and monitors revenue and expenditure activity for each source of funds. Develops and manages budgets; tracks and monitors expenditures; prepares and analyzes monthly reports, presents financial update related to Departmental events to the Director of Finance & Administration and Department Chair
  • Monitors and tracks any funds related to educational unrestricted grants and gift funds that are obtained.
  • Updates and implements travel and procurement policies and procedures in relation to managed events.
Policy Coordination and Compliance:

    Administers pertinent State fiscal policies, UCDSOM rules and procedures, and State/Federal laws and standards applicable to CME/ASHA courses or business management.
Research Coordination Duties:

  • Provides administrative support for the clinical and basic science research missions, including but not limited to:
  • Coordinate gift card setups and audits for clinical studies
  • Assist with petty cash reconciliation process
  • Assist research faculty with basic finance and procurement questions
  • Collects and uploads all relevant documents for routing clinical research study proposals through InfoEd
  • Route Confidential Disclosure Agreement/Non-Disclosure Agreements, Material Transfer Agreements, and Data Use Agreements
  • Serve as initial point of contact for general research procurement questions and processes including shipping/facilities related
  • Serve as a point person for coordination and tracking of all relevant Research trainings (Investigator, Medical Student, Resident e.g. CITI, REDcap, and Epic)

Salary and Benefits:

The salary range (or hiring range) for this position has been established at $48,137 to $72,205.  

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

Qualifications
Minimum Qualifications:

Business Services Senior Professional:

  • Bachelor’s degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution and 2 years of professional level experience working with faculty and staff in higher education.
Substitution: A combination of education and related technical/paraprofessional experience, or in graduate medical education, higher education, medical school programs, or a health science center, may be substituted for the bachelor’s degree on a year for year basis.

Required: Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Professional program and/or project management experience.
  • Professional experience working in graduate medical education and/or higher education.
  • Professional experience managing operational activities (ex. events, recruiting, finances, etc.).
  • Experience working in an academic medical center.
  • Experience with medical education information management systems (e.g., New Innovations, Med Hub).
  • Event planning experience.
Knowledge, Skills, and Abilities:
