Accounting Specialist, Dean’s Office

The College of Veterinary Medicine invites applicants for an Accounting Specialist position located within the Dean’s Office.  The primary purpose of this position is to function as a college-wide auditor and to perform accounts payable, payroll, and deposit duties for the Dean's Office.  This position also is responsible for college-wide budgeting of salary savings, reporting scholarships and award balances, entering payroll and distributing income for the Hill's Feeding Program, coordinating the p-card requests and distributing the p-cards sent by the Treasurer's Office, providing quarterly sales tax figures to the accounts receivable accountant, contract entry, equipment inventory (College-wide distribution and collection and Dean's Office), accounting support for Continuing Education activities such as general conferences and continuing education, veterinary social work continuing education, and endoscopy continuing education and special accounting projects as requested by the Budget Director.

Typical Responsibilities:

Audit and Review

(1)   Audit college-wide equipment inventory report for submission to the Controller's Office and audit monthly theft reports, (2)  Audit accounts payable related documents such as direct billed invoices, contract invoices, moving allowance requests/calculations, entertainment invoices, petty cash reimbursements, taxable fringe benefits reports, and honorarium payment calculations related to requests for exception to policy, (3) audit gift card requests and report maintenance according to policy, (4) perform monthly effort certification audit, (5) perform audit of monthly payroll reports to ensure departments are signing and reviewing them, (6) gift card purchase requests, (7) review p-card requests in CONCUR, and (8) review travel card requests in CONCUR.

Accounting and Budgeting

(1)  Preparation of Budget and Financial reports for CVM Continuing Education( includes general conferences and continuing education, veterinary social continuing education, and endoscopy continuing education, (2) Enter all accounts payable activities for the Dean's Office,  (3)  Account reconciliation (income and expense accounts) for CVM Continuing Education (including veterinary social work continuing education and endoscopy continuing education),  and student emergency fund petty cash account, (4)  Serve as alternate reconciler for in-state and out-of-state tuition accounts, (5) Enter payroll for Dean's Office and the Hill's program, (6) Enter deposits (includes calculation of Hill's deposits and coordination of SCAVMA deposits, (7)  Enter contracts, (8)  Report quarterly sales tax to the accounts receivable accountant, (9) Circulate college-wide yearly report for verification of recorded and unrecorded absences,  (10) Calculate and budget college-wide research salary savings entries, (11)  Complete equipment inventory and maintain assets in IRIS for Dean's Office equipment, and (12) Coordinates the payment of awards for the  Senior Awards and Scholarships/Awards events.

Miscellaneous: 

(1)  Issue instructions on behalf of the Budget Director, (2)  Distribute and collect yearly college inventory reports, (3)  Maintain central office copier and distribute monthly costs to departments, (4)  Provide CVM policy guidance and fiscal policy guidance, (5) Assist Budget Director with special projects, (6) Train new departmental employees in areas of expertise,  (7) Assist departments in times when a Business Manager position may be vacant and information in areas of expertise are needed, (8)  Circulate for verification the report of recorded and unrecorded absences once per year at the first of December, and (9)  Other duties as assigned including assisting the Accounting Coordinator I (50014521) when able and as needed.

 

 



Qualifications
Minimum Qualifications:

High school diploma or equivalent with 5-6 years of related accounting experience or equivalent combination of education and training. 

Preferred Qualifications:

Associate’s Degree or Bachelor’s Degree in Business/Accounting preferred.
