The Mission and Ministry Program Coordinator at Georgetown University Law Center supports the Law Center's Director for Mission and Ministry and campus chaplains in advancing Campus Ministry aims by providing essential programmatic and administrative support. They manage all planning and logistics for department programs and retreats; maintain offices that are welcoming to diverse guests and supportive of colleagues, and coordinate space use and maintenance. Reporting to the Law Center's Director of Mission & Ministry, collaborating with Law Center chaplains and staff, and interacting frequently with students, faculty, staff, alumni, donors, and other guests, the Mission and Ministry Program Coordinator has duties that include but are not limited to:

Event and Retreat Coordination
  • Coordinate and maintain events calendar in consultation with Director and chaplains
  • Provide logistical and in-person support for department events - to include scheduling, reservations, catering, decor, contracts, publicity, registration, and coordination with internal staff
  • Maintain standards of event hospitality for the department, taking into account the experiences and particular needs of diverse constituencies
  • Provide logistical and in-person support for department retreats - e.g., reservations, publicity, catering, registration, schedules, room assignments, transportation, schedules, and guest speaker arrangements


Office Management
  • Maintain professional, responsive, and welcoming environment for the Law Center Mission and Ministry Office
  • Manage front office coverage of phone and email accounts, as well as administration, program, and special-event support
  • Manage the use of offices and sacred spaces administered by the Law Center Mission & Ministry Office, including scheduling and upkeep
  • Maintain offices spaces, including scheduling regular cleaning and maintenance and selecting appropriate office decor in consultation with Director


Executive Support
  • Provide executive support to Director for Mission and Ministry
  • Manage scheduling, correspondence and travel
  • Manage expense reports


Department Support and Collaboration
  • Maintain contact and collegial relationships with chaplains and staff who collaborate to serve Law Center Mission & Ministry programs and events
  • Coordinate staff meetings, retreats, and social gatherings
  • Maintain collaborative relationships with other Law Center and university offices and departments to foster appropriate synergies between the programs and goals of other administrative offices and services and the goals of Law Center Mission & Ministry
  • Submit Facilities and University Information Systems work requests for all offices as needed and track completion
  • Ensure periodic inventories and purchasing of program support materials
  • Oversee procurement, maintenance, tracking, and disposal of departmental office furnishings, equipment, and technology consistent with university policies
  • Monitor office budgets and reconcile expenses with Central Business Office
  • Recruit, train and supervise up to 2 student employees


Communications and Outreach
  • In consultation with department and campus Communications staff, coordinate communications strategy for office, including website, email and social media presence
  • Coordinate office communications strategy, with support from department communications team, including website, weekly email newsletters, university and department calendars, and social media
  • Coordinate office efforts to track student engagement and assess programs
  • Foster outreach and communication with Law Center administration and staff and other university counterparts to foster collaboration to better meet the religious and spiritual needs of students, faculty and staff


Qualifications
  • Bachelor's degree in a relevant field - Master's preferred
  • At least 3 years of administrative, event-coordination, or programmatic work experience
  • Ability to work closely with leaders and students from many faith traditions, including experience navigating religiously or culturally diverse spaces
  • Exceptional interpersonal skills and the ability to navigate complex organizational environments
  • Ability to multi-task, problem solve and balance independent and collaborative work strategies
  • Creativity and attention to detail
  • Ability to take initiative, juggle competing demands, set priorities and adapt quickly
  • Strong proficiency in Microsoft Office, including Word and basic Excel
  • Skilled in web content and social media management
  • Willingness and availability to work evening and weekend for services, programs and retreats as scheduled in consultation with supervisor
