POSITION OBJECTIVE

Working under general direction, the clerk 3 provides primary counter and phone customer service for Access/Auxiliary Services functions. In addition, the clerk 3 performs other administrative duties to include data input in affected systems, reconciliation of data, devising and maintaining procedures to ensure consistent and outstanding delivery of services.

 

ESSENTIAL FUNCTIONS

  1. Provide outstanding customer service. (10%)
  2. Capture images for the university identification card (ID) and enter accurate data into the ID system at the time of issuance. Verify identity and paperwork of prospective cardholder prior to issuance. (10%)
  3. Issue ID cards in accordance with university ID policy. (10%)
  4. Issue parking permits to university entities and enter accurate data into parking system at time of issuance. Verify identity and authorization of paperwork of prospective permit holder prior to issuance. (11%)
  5. Issue parking permits in accordance with university parking policy. (19%)
  6. Assign meal plans, inter departmental cards, vending and all campus account privileges to authorized university affiliations. Enter accurate data into food service system. Verify identity and authorizing paperwork of prospective Food Service System customer prior to issuance. (5%)
  7. Issue university keys in accordance with the university key control policy. Verify identity and authorize paperwork of prospective key holder prior to issuance. Enter accurate data into the key shop database. (5%)
  8. Assist with input of data into access control system. (8%)
  9. Responsible for recording and reconciling fees received for services provided on a daily basis. (5%)
  10. Collect and input data for parking waiting lists. (5%)

    

NONESSENTIAL FUNCTIONS

  1. Responsible for inventory of all supplies, forms, ID supplies, parking permits and provide monthly inventory report. (2%)
  2. Devise and maintain accurate files of all related paperwork for Food Service operation, ID’s, parking and key issuance. (2%)
  3. Advise technician of potential service issues related to food service and access card readers. Provide detailed information on service related problems. (2%)
  4. Prepare routine reports on ID issuance, parking issuance, etc. as needed. (2%)
  5. Perform on site food service, ID, and parking signup/issuance as needed. (2%)
  6. Perform other duties as assigned. (2%)

 

CONTACTS

Department: Daily contact with Access manager, director of Auxiliary Services and co-workers.

University: Daily contact with faculty and staff

External: Daily contact with contractors, vendors and temporary employees

Students: Daily contact with student customers

 

SUPERVISORY RESPONSIBILITY

No supervisory responsibility.

 

QUALIFICATIONS

Experience: 2 to 3 years of extensive customer service experience.

Education: High school education required; completion of college level course work preferred.

  2. Must be detail oriented.
  3. Ability to handle confidential information with the utmost discretion.
  4. Ability to effectively multi-task.
  5. Must work well under pressure and be able to meet deadlines.
  6. Familiarity with cash handling processes.
  7. Must have Basic computer skills
  8. Ability to meet consistent attendance.
  9. Ability to interact with colleagues, supervisors, and customers face to face.

 

WORKING CONDITIONS

General office environment; walk up customer service counter. Overtime required during peak periods.
