Position Summary:

The Class Manager position has at its core the responsibility for developing class identity within alumni classes, stewarding the relationships of Stanford's key volunteers, and leading all planning and implementation efforts for Reunion Homecoming classes. Class Managers develop and implement key alumni relations programs within the Alumni & Student Class Outreach Department.

Your responsibilities will include:

Volunteer Leadership Recruitment

Research and analyze each of three alumni class (15th, 20th, 45th) and determine key class leadership (undergraduate leaders, prior reunion leadership, other University volunteers and those exhibiting potential for volunteer leadership). Collaborate with colleagues throughout the University (Stanford Alumni Association, Office of Development, Multicultural Community Centers, Alumni Executive Board, etc.) to identify “best fit” involvement for alumni volunteers. Recruit Reunion Chairs to build Reunion Leadership Teams with particular attention to developing new leadership, promoting inclusiveness, reaching out to a broad range of the class, and ensuring diversity that reflects the class's composition. Expand reunion participation so as to strengthen mission critical sense of class identity.

Volunteer Management and Stewardship

Train, coach and mentor Reunion Chairs, Coordinators and Class Committee members (typically 8-10% of alumni class size). Steward volunteers and actively recommend leaders for established recognition programs and additional volunteer roles within the University (Alumni Executive Board, Stanford Associates, Alumni Communities, etc.). Build an engaged core of class volunteers who will lead a classmate-to-classmate outreach campaign for Reunion Weekend (primarily through an attendance/Class Book calling campaign and by organizing individual Mini-Reunions). As a byproduct, nurture and sustain Stanford's efforts to develop class identity that continues through non-reunion years.

Strategize and organize class-wide, classmate-to-classmate attendance calling campaign in collaboration with Attendance Chairs. Assign responsibilities and track completion of volunteer tasks. Develop broad Mini-Reunions outreach campaign, in collaboration with Mini-Reunion Chairs, including event planning strategy, identification of important Mini-Reunion groups, and communications and follow-through with individual coordinators.

Class Communications and Marketing

Serve as key point of contact for Reunion Chairs and Committees, as well as for the entire class membership, for three reunion classes. Communicate reunion goals and mission to volunteers and class members, respond to requests, provide excellent customer service, and act as Stanford ambassador for the Reunion Program and class identity.

Develop, write and edit class communications including bi-monthly email newsletters, website copy, mailings, class events information for registration booklet, Class Panel programs, etc. Using knowledge of different classes and sensitivity to different ages and perspectives, tailor language style and tone to the individual classes.

Manage class alumni relations component of Class Books, collaborating with and supporting Class Book Chairs and organizing and implementing participation campaign.

Event Planning and Budgeting

Advise Reunion Chairs, Class Panel Chairs and Mini-Reunion Chairs on all reunion event-planning and budgeting, including Class Party, Class Tailgate, Class Panel, Mini-Reunions Celebration, and other programs unique to each class. Evaluate and hire caterers, bartenders, musicians and other vendors, and negotiate contracts. Work with University departments to execute audio-visual and other logistical needs for Reunion Weekend. Train and manage student Team Leaders. Manage all class events and troubleshoot to solve problems, ensuring volunteer and alumni satisfaction.

Develop and monitor reunion class budgets in consultation with reunion volunteer leadership, with goal of making reunion as inclusive as possible to all classmates. Review variances and budget reports to track and monitor expenses, and ensure that program and departmental financial goals are met. Ensure that all purchase requisitions and invoices are submitted and paid in a timely basis.

Other

Participate in activities that enhance the department and team mission, support the endeavors of other departments and promote SAA's commitment to the Stanford community. Engage with department leadership and other colleagues in efforts to explore new programs or enhance existing programs to keep Reunion Homecoming an attractive and vibrant opportunity for alumni engagement.

In this position, you will bring:
  • Bachelor's degree and three years of relevant experience or combination of education and relevant experience.
  • Advanced knowledge of volunteer development and management with sensitivity to class specific, generational considerations.
  • Knowledge of Stanford's goals for alumni outreach and ability to translate knowledge into effective recruitment and organizational strategies.
  • Understanding of importance of joint efforts of the fundraising goals of The Office of Development to the Classes mission and Reunion Program and ability to communicate these priorities to key volunteers and alumni.
  • Excellent communication (verbal and writing) skills and the ability to professionally represent SAA and the University both internally and externally.
  • Solid understanding of social media, e-mail and web based communications and marketing. Strong computer/e-mail/web skills and demonstrated ability to use online communication tools in an effective manner.
  • Strong interpersonal team and leadership skills. Tactfulness, flexibility and maturity are essential in working with diverse population groups (multi-generational alumni, SAA staff, Stanford students, faculty, staff, vendors, etc.).
  • Sound judgment, the ability to analyze problems quickly and accurately, and the ability to develop practical cost-effective solutions are essential in handling and solving a variety of problems, (on-site emergencies, demanding alumni, logistics/scheduling conflicts, and numerous unexpected situations).
  • Exceptional organizational skills and the ability to meet numerous deadlines and adhere to strict schedules.
  • Demonstrated ability to work independently, successfully coordinating many projects requiring close timeline management, get projects done on deadline by enlisting the cooperation of volunteers and colleagues.
  • Computer proficiency using databases or software such as Slack, MS Word, MS Excel, Internet and other related applications systems.
  • Familiarity with Stanford University and alumni relations efforts and programs are highly desirable.
  • Flexibility to work extended hours as necessary to complete work assignments, to address high volume of work or to staff department events after hours; this includes but is not limited to occasionally helping with department's student & alumni events and during the peak season for Reunion Homecoming.
  • Understanding and commitment to goals of higher education are highly desirable.
