The University of Illinois at Urbana-Champaign has an opening for an­­­­­­­­­­­­­­­­ International Admissions Specialist or Senior International Admissions Specialist in the Office of Undergraduate Admissions. The International Admissions Specialist processes and evaluates international undergraduate applications, assist in the processing of non-immigrant document applications, and work on a variety of related tasks and projects in addition to having detailed knowledge and understanding of office policies, practices, and procedures.

Duties and Responsibilities:

  • Review and evaluate international freshman Self-Reported Academic Records (SRARs) and International Exam submissions to ensure that required information is entered on SRARs accurately. Correct SRARs and International Exam submissions or return to applicants as needed. Ability to research, assess and retain complex and detailed information related to various international secondary education systems, international external examinations, and secondary graduation requirements relevant to SRAR review and evaluation.
  • Participate as a member of one or more freshman review committees. Use professional judgment to make admission decisions based on evaluation of application credentials and admissions policies.
  • Evaluate and process international transfer applications and credentials to determine admission eligibility. Ability to research, assess and retain complex and detailed information related to various international secondary and higher education systems, international external examinations, and secondary and higher education graduation requirements relevant to the evaluation and processing of international transfer applications.
  • Participate as a member of one or more international transfer application review committees and as a chair of one international transfer application review committee. Use professional judgment to make admission decisions based on evaluation of application credentials and admissions policies. This includes but is not limited to evaluating course grades, determining that course requirements are met, and determining that English proficiency requirements are met.
  • Evaluate, review, and process final high school transcripts, examination results, and other final high school documents. Determine whether or not final documents indicate successful completion of course, exam, and graduation requirements.
  • Evaluate, review, and process final college transcripts, transfer coursework for current or former UI students, and other final college documents. Determine whether or not final documents indicate successful completion of course requirements.
  • Assist with the non-immigrant Student and Exchange Visitor (SEVIS) I-20 and DS-2019 application process, with the SEVIS I-20 and DS-2019 issuance process, with responding to SEVIS non-immigrant questions and correspondence, and with SEVIS I-20 and DS-2019 shipping preparations. Possess knowledge of systems and/or system functions relevant to I-20 and DS-2019 applications and issuance, including understanding of the SEVIS system and policies, practices, and procedures.
  • Utilize the client relationship management system (SLATE) to assist with initiating and tracking OUA communication with applicants and students.
  • Research institutions regarding academic status, standing, and accreditation. Log information as needed. Ability to locate and read a variety of primary and secondary source material such as relevant trade literature and institutional websites and to communicate relevant information to colleagues.
  • Assist with development and/or updating of policies, practices, and procedures when needed or requested.
  • Evaluate and verify applicant citizenship and residency statuses. Possess familiarity with government citizenship and visa categories in addition to Office of Undergraduate Admissions and university policies, practices, and procedures relevant to interpretation and establishment of citizenship and residency statuses.

Additional Duties and Responsibilities included only for the Senior position:

  • Participate as a member and chair of one or more freshman review committees. Use professional judgment to make admission decisions based on evaluation of application credentials and admissions policies.
  • Assist with the non-immigrant Student and Exchange Visitor (SEVIS) I-20 and DS-2019 application process, with the SEVIS I-20 and DS-2019 issuance process, with responding to SEVIS non-immigrant questions and correspondence, and with SEVIS I-20 and DS-2019 shipping preparations. Possess knowledge of systems and/or system functions relevant to I-20 and DS-2019 applications and issuance, including understanding of the SEVIS system and policies, practices, and procedures. Serve as Designated School Official (DSO) when needed. When acting in the capacity of DSO, possess detailed knowledge to ensure compliance with relevant federal regulations.
  • Work selected admission application reports as needed, such as the English Proficiency Report and English Problems Report. Assume coordination of reports with other staff when directed.
  • Participate as a member and chair of one or more international transfer application review committees and as a chair of one international transfer application review committee. Use professional judgment to make admission decisions based on evaluation of application credentials and admissions policies. This includes but is not limited to evaluating course grades, determining that course requirements are met, and determining that English proficiency requirements are met.
  • Have extensive knowledge of various systems used to support admissions functions, such as client relationship management, student information and course articulation systems. Act as a contact within unit for assistance in trouble-shooting systems issues.
  • Act on detailed knowledge and understanding of Office of Undergraduate Admissions policies, practices, and procedures relevant to international admissions activity, including but not limited to freshman application and review processes, transfer application and review processes, F-1 and J-1 non-immigrant document application and issuance processes, coordination of international unit processing staff, and working with external personnel and units across campus.
  • Prepare training materials and assist in training of new staff members, part-time workers, and student workers as needed and under the supervision of the Senior Coordinator of International Processing.
  • Serve as the International Admissions contact for one or more undergraduate colleges or programs under the direction of the Assistant Director.
  • Serve as a back-up to the Assistant Director for overseeing admissions processing and related functions when needed. Attend meetings in the place of the Assistant Director.
  • Coordinate or assist with various projects, including but not limited to updating of treat-as-domestic-school list, maintenance of databases, creating new or modifying existing reports using eAdmit reporting functions, and correspondence with external clients.
  • Provide input for development of new admission procedures, policies, and practices when requested by senior management. Participate in working groups for same when requested to do so.

Required education, experience, and qualifications:

  • Bachelor’s degree in business, communication, education, humanities, public relations, social sciences, or a field related to the position.
  • Two years of professional work experience in admissions, records, registration, and/or closely related experience within an educational setting.
    • (A Master’s Degree in an area consistent with the duties of the position may be substituted for one year of work experience.)
  • Proven experience evaluating and processing international documents (transcripts, examination results, transfer coursework, etc.) and/or in processing and reviewing immigration paperwork (I-20s and DS-2019s) (Senior position only)

Preferred experience and qualifications:

  • Prior experience in admissions and/or international education systems.
  • Prior experience with Banner, u.Achieve, Slate, and Sunapsis

Successful candidate will have the following qualifications:

  • Detail-oriented and ability to work in a fast-paced environment
  • Familiarity with computer applications such as Microsoft Office Suite (Outlook, Word, Excel, etc.).
  • Detailed knowledge of international education systems. (Senior position only)

This is a full-time Civil Service Admissions and Records Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after August 12, 2021. Salary is commensurate with experience.

Research

Undergraduate Education

Undergraduate admission is highly selective. In the 2001 freshman class, students in the middle 50% had ACT scores between 25 and 30 and ranked between the 83rd and 96th percentiles of their high school graduating classes.

The Arts
