Description
Administrative Support

  • Assists the Director of the School of Art & Design with daily tasks
  • Helps to support the department Business Manager with tasks as assigned 
  • Coordinates promotion and tenure reviews, annual reviews, and probationary reviews for academic personnel and submits to COTA (College of the Arts)
  • Coordinates Faculty searches 
  • Maintain full-time faculty personnel files 
  • Assists with Digital Measures (used for inputting faculty activities for annual reviews)
  • Front-line clerical duties & coordinating day-to-day front desk activities such as checking in and greeting students and guests, answering phones, sorting and distributing mail, and packages
  • Manages department building access as well as keys for building and room access; manages and request codes for combination locks, Student & Faculty swipe card access. 
  • Supervises student workers and ensures front office coverage
  • Oversees hire process and time entry for fee-based/temporary staff (figure models)
  • Works directly with the Office of Academic Assistance and the Undergraduate Coordinator to manage student registrations adjustments, inputting course waivers, syllabus collection and class scheduling
Events Planning

  • Serves as planner and coordinator of Art & Design events, conference receptions, retreats, lunches, and other special events; this includes arranging equipment, tables, seating, and overseeing catering orders; coordinates and communicates with security personnel; sends  invitations and manages RSVP; and works with Business Manager in tracking costs to ensure event is within specified budget 
  • Works in junction with PR Coordinator to facilitate Art & Design Open Studio and Visiting Artist talks, as well as attending and managing those events
  • Assists with arranging honorarium for guest speakers and working with them on travel arrangements for Art & Design unit events 
Customer Service

  • Serves as department liaison for facilities as well as projects and issues relating to space, facilities management, and custodial services across all buildings and spaces for which the school is responsible (Arts & Humanities Building). Works with Director to coordinate moves, employee offices, furniture, and signage
  • Coordinates annual space survey to ensure accurate record keeping and utilization of department space as well as scheduling university movers and surplus pickups
  • Manages multiple high-priority activities in a fast-paced environment requiring considerable coordination and follow through; responds to technical administrative inquires and ensures that resolution and necessary follow-up is performed
  • Exercises sound judgment in decision-making, anticipates, recognizes and resolves internal and constituent issues
  • Other duties as assigned


Qualifications
Bachelor's degree and one year administrative experience; or high school diploma or GED and five years administrative experience; or a combination of education and related experience.

In addition to the numerous degree programs, Georgia State offers full- and part-time programs and day, evening and weekend classes.

Students have many choices in extracurricular activities including more than 22 fraternities and sororities; and some 250 chartered student groups, including 60 degree-related student groups, seven religious, 24 law-oriented and 22 multicultural/international groups; and 10 honor societies. There is also an active student government association which includes the student senate and the judicial board.

The Georgia State Panthers are members of the Colonial Athletic Association and compete in 16 NCAA Division I intercollegiate men’s and women’s sports, including basketball, baseball, softball, golf, tennis, track and volleyball. The university announced in April 2008 that is will begin Division I-AA football in 2010.

The university’s innovative Touch the Earth program brings outdoor recreation ranging from backpacking, rock climbing, sailing, kayaking, rafting and water-skiing to out-of-state snow-skiing and snorkeling trips. And WRAS, Georgia State’s popular 100,000-watt radio voice, is the most powerful student-run radio station in the United States.
