Overview

POSITION SUMMARY: 

Under the general direction of the University of Massachusetts Medical School’s (“UMMS”) Deputy Executive Vice Chancellor for Management (“DEVCM”) – within UMMS’ Office of Management (OOM), the Privacy & Compliance Coordinator is responsible for providing administrative support to the DEVCM and Sr. Director of Compliance & Privacy. This position will also be responsible for providing support to the OOM Privacy & Compliance team in order to increase efficiency and strengthen the program.

Responsibilities

ESSENTIAL FUNCTIONS:

  • Assist the Sr. Director of Compliance and Privacy with calendar management, administrative tasks, organization, and special projects. Collaborate with internal staff to confirm Sr. Director’s schedule reflects strategic priorities.
  • Coordinate with internal staff responding to requests on behalf of the Sr. Director, ensuring a timely and appropriate response is received.
  • Manage communications and activities on behalf of the Sr. Director, making sure items requiring attention and follow-up are taken care of in a timely manner.
  • Research, collect, and prepare information for use in discussions/meetings for Sr. Director.
  • Maintain confidentiality of information regarding business, reports, and documents and use discretion when disseminating information.
  • Evaluate methods and procedures and develop alternative techniques for processing work or improving the operating efficiency/effectiveness of the Privacy & Compliance team.
  • Serve as the primary point of contact for processing signatures on specific types of Commonwealth Medicine contracts.
  • Assist the OOM Privacy & Compliance team with information related to the established procedures for contract signature processing, in compliance with finance guidelines.
  • Manage the organization and retention of all relevant privacy and compliance documents and records, including but not limited to policies, logs, databases, compliance communications, work plans, and risk analyses and assessments.
  • Report data metrics that support program planning, prioritize risk areas, and track resolutions, including updating the OOM incident metrics tracking dashboard.
  • Monitor shared privacy and compliance email inbox and hotline calls and follow up as needed.
  • Serve as primary backup for the Manager of Data Privacy and Security. This includes reviewing and processing access requests for multiple systems within established guidelines, participating in user access reviews and audits, and investigating and responding to user access issues.
  • Perform other duties as assigned.
Qualifications

REQUIRED QUALIFICATIONS:

  • Bachelor’s degree in Business Administration or a related field
  • 3-5 years of administrative support experience
  • Ability to handle multiple priorities in a complex business or legal environment
  • Superior oral and written communication skills
  • Excellent interpersonal and teamwork skills
  • Demonstrated organizational skills
  • Ability to work with limited supervision
  • Ability to spot issues, take initiative and work proactively
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)

PREFERRED QUALIFICATIONS:

  • Knowledge of privacy and compliance practices and requirements
  • Experience working with contracts
