Full-Time, Exempt, Salaried, Administrative Staff Appointment

Reporting to the payroll manager, the assistant director of financial services operations assists various departments with financial integrations, assists accounting technicians to review and process transactions, analyzes and proposes processes to improve customer service and internal controls, processes a multitude of accounting transactions, and performs other administrative duties to maintain financial integrity at the College. This position will also work closely with the assistant director of administrative financial services and serve as a backup in many of their duties and responsibilities. A visible and active part of Colby's administration, this position assists many campus constituents including faculty, staff, students, and off-campus business partners. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Serve as finance point of contact for assigned departments
  • Utilize Workday to process various accounting transactions
  • Design, test, and review financial integrations into Workday with third party systems such as Booklog, RaisersEdge, Jenzabar, Transact, and Adaptive
  • Review Workday activity and work with departments to understand the appropriate use of worktags
  • Maintain employee/ department confidence and protect operations by keeping financial, human resources, and payroll information confidential
  • Monitor finance activity to ensure financial integrity College wide
  • Complete monthly tasks relating to recording of revenues, expenses, and reconciliation of balance sheet accounts
  • Assist payroll analyst and payroll coordinator in review and audit of biweekly and monthly payroll
  • Serve as backup to run payroll deduction reports and process payroll invoices
  • Develop and utilize reporting mechanisms to flag and correct errors in payroll, accounts payable or other accounting transactions
  • Proactively analyze any ongoing finance issues related to accounts payable or payroll; implement process improvement plans as necessary
  • Provide the highest level customer service to all areas
  • Backup accounting technician in the review and approval of supplier requests, supplier invoice requests, expense reports, and other requests for payment
  • Collaborate with other members of finance team to plan and hold workshops for students, faculty, and staff throughout the year on various topics relevant to department
  • Execute weekly, monthly, quarterly, and annual period close tasks with members of financial operations team
  • Gain a broad knowledge of and familiarity with College business policies and procedures
  • Perform additional duties as assigned; duties, responsibilities, and activities may change at any time with or without notice

QUALIFICATIONS:

  • Bachelor’s degree or the equivalent in education and experience
  • Three or more years of experience working in a business office, accounting, or a related field
  • Excellent interpersonal, communication, and organizational skills with a high level of motivation
  • Demonstrated experience in performing functions and in the oversight of general ledger, fund accounting, accounts receivable, accounts payable, purchasing, payroll, and other related tasks
  • Experience with accounting information and ERP systems required; Workday experience preferred
  • Strong organization, analytic, interpersonal, problem-solving, and customer service skills; ability to effectively communicate orally and in writing to constituencies with varied levels of financial expertise
  • High level of professionalism, initiative, the ability to manage numerous deadlines simultaneously with an appropriate sense of urgency
  • Strong problem solving and creative thinking skills; sound judgment and decision making skills based on accurate and timely analyses
  • Strong analytical skills including the ability to extract, analyze, and adjust data within multiple computerized systems
  • Attention to detail and accuracy are critical; ability to maintain confidentiality is mandatory
  • Must be able to work independently, exercise judgment, and manage projects with minimal supervision as well as to adjust as new projects are assigned
  • Highly developed computer skills including extensive experience using Microsoft Office Suite with superior expertise in Excel
  • Ability to work independently and as a member of a team, establish priorities, and work collaboratively as a member of a diverse community
  • Valid driver’s license required and must meet the College’s Fleet Safety Policy requirements

KEY RELATIONSHIPS:

This position has significant interaction with students, faculty, staff, and off-campus business partners.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:

General open office and campus environment. Position involves sitting, although frequent movement is necessary. Computer usage involving repetitive hand/wrist motion is also necessary.
