Regular, 0.75 FTE position Position Summary:
The Administrative Assistant provides support to the CWLT Director in offering academic support services, including coordinating language testing, managing publicity, and overseeing departmental events. The Administrative Assistant also provides general office, clerical, and technical assistance for the director of the Center for Writing, Learning, and Teaching (CWLT). The CWLT adjoins and shares reception space with the Office of Student Accessibility and Accommodation (SAA), which facilitates disability-related accommodations for students with visible and invisible disabilities. The CWLT Administrative Assistant coordinates essential department reception support in greeting and assisting the many students, families, staff, and faculty who work with the CWLT and with SAA. Essential Job Functions and Responsibilities:
- CWLT Outreach: Manage ongoing updates to the CWLT website, manage the CWLT social media accounts, and manage other publicity efforts such as posters, chalking, and brochures and stickers. Manage and respond to general CWLT email and appointment requests. Act as a conduit between the CWLT and individuals from on and off campus seeking information about and making requests of the CWLT. Support engagement with CWLT tutor alumni.
- CWLT Appointment Scheduling: Coordinate the schedules for CWLT Writing Advisors, Subject Tutors, and Academic Consultants and keep it up to date, consistent, and accurate in WCONLINE, on the website, and on posters. Coordinate appointment scheduling.
- Writing Across the Curriculum (WAC) Support: Provide administrative support for the WAC program, including supporting the Writing Excellence competition by processing submissions; distributing submissions to judges; posting winning essays; and handling disbursements to winning students. Support administration of the Writing Assessment by tracking papers, distributing incentives to students, and supporting in the faculty assessment workshop. Provide administrative support for faculty writing workshops by managing catering orders, reserving rooms, making photocopies or scans, and coordinating contracts and disbursements for faculty participants.
- Department/Program Meetings and Events: Support CWLT events such as the December staff party, graduation party, midterm and finals events, and the Long Night Against Procrastination. Schedule meetings, ascertain availability, and reserve meeting rooms. Arrange supplies, equipment, and catering requests. When appropriate, request and order banquet permits with the Washington state liquor control board.
- Language Testing: Coordinate language testing for students who desire to complete the language graduation requirement through demonstrating knowledge on a test. Communicate with testing agencies, coordinate with Admissions about testing dates for incoming students; schedule and support testing arrangements several times throughout the year; process, communicate, and document test results.
- General Office Management: Submit facilities requests, maintain office equipment, order office supplies and paper for printers/copiers, manage the department bulletin board, collect mail from and deliver mail to Mail Services, and manage CWLT shared network drives and Google share drives.
- Budget Management Support: Monitor budgets (operating, endowment, other budgets). Duties include p-card reconciling, PeopleSoft verifications, funds transfers, accounts payable troubleshooting, budget reporting, disbursement and reimbursement requests, and alerting budget manager to any unexpected changes or unapproved charges to the budget.

High school diploma or G.E.D., Associate or bachelor degree preferred Compensation and Benefits
- At least one year of related administrative experience or managerial experience that included some administrative work. An equivalent combination of education and experience will be considered.
- Ability to communicate effectively in written and face-to-face communication with diverse audiences
- Ability to multitask, to organize, and complete projects in an efficient manner
- Ability to work with a minimum of direct supervision
- Ability to handle confidential materials
- Proficiency with Microsoft Office Suite and Google Suite programs
- Ability to become proficient with new software and databases; familiarity with PeopleSoft Financial, Campus, and Human Resources software and Content Management System (CMS) (Drupal) (desirable)
- Ability to use/operate a personal, rented, or university vehicle to conduct university business (desirable)
- Ability occasionally to lift up to 30 pounds (desirable)
- Regular and predictable attendance Ability to respectfully work, communicate, and provide leadership within a diverse campus community
