Job Description POSITION OBJECTIVE

Reporting to the executive director of advancement services, the senior director of advancement services will be primarily responsible for planning and implementing a comprehensive advancement services program, representing Case Western Reserve University’s highest strategic priorities that impact the university’s future and national reputation. The senior director will oversee and manage a central Advancement Services team, consisting of Gift Processing, Advancement Services, Business Intelligence, Data Analytics and Reporting, Prospect Management and Development Research. The senior director also provides fundraising business intelligence, data analysis and reporting services for university relations and development and executive leadership team.

In collaboration with the executive director, the incumbent will provide strategic direction for the Advancement Services team with a focus on increasing the quality of services and support to development operations across the campus promoting the strategic engagement of Case Western Reserve University’s 113,000 living alumni to maximize annual philanthropic support for the university. The senior director is the central resource for the university relations and development division, school and college colleagues and the Office of Advancement Services with the goal of creating and sustaining a customer-service oriented and donor-centric operation.

ESSENTIAL FUNCTIONS

    In collaboration with the executive director, provide broad administrative oversight in the planning, implementation, improvement, and evaluation of functions and operations within Advancement Services. Provide direction to build a culture of customer service, achievement, professionalism, and efficiency. Build, sustain, encourage, and support productive relationships with and among colleagues and serve as the central point of contact and key partner to executive leadership, the university relations and development division and schools/colleges across campus. Serve as the primary liaison for the Office of Advancement Services in the absence of the executive director. (25%)Oversee the planning and evaluation of the technology infrastructure necessary to promote and sustain university-wide development and alumni relations activities, while prioritizing data reporting and analytics initiatives that generate actionable insights and maximize fundraising revenue to the university. Develop proactive strategies to continuously improve and maintain the highest standards of data integrity, gift processing, database management, and interrelationships of data in advancement services technology, including initiating process improvement management projects to ensure accurate coding, biographical data, etc. in the Ellucian Advance system. Direct and monitor fundraising reports prepared for university relations and development division staff and executive leadership. Oversee end users training and help desk support to the Ellucian Advance system. (25%)Oversee the accurate processing of charitable gifts and grants to ensure IRS, Case Management Reporting (Council for Support and Aid to Education) and university data integrity guidelines, regulations and procedures are adhered to for all business applications and activities. Manage the compliance and ethical standards, policies, and procedures of Advancement Services activities, including endowment reports for university relations and development staff and Board of Trustee meetings. (20%)In collaboration with the executive director, develop, implement, and oversee policies and procedures for prospect research and prospect management activities for all giving programs at the university. Organize and facilitate gift pipeline meetings centrally and in each school and college. Monitor and report on progress toward goals for each unit and individual fundraiser by using dashboards and measurement tools to illustrate fundraising activity. (20%)Supervise, coach and mentor a team of 16 advancement services professionals in the areas of Gift Processing, Advancement Services, Business Intelligence, Data Analytics and Reporting, Prospect Management, and Development Research. (10%)

CONTACTS

Department: Regular and extensive interaction with the senior vice president of university relations and development, vice president and executive director as required to perform essential functions.

University: Contact with the president’s office, provost’s office, vice presidents, deans, trustees, alumni, chief development officers, senior staff in schools and college, faculty and staff as required to perform essential functions.

External: Daily contact with donors, alumni, foundation representatives, community organizers/advocates, corporate executives, and federal, state, and local government officials. Contact with visitors, academic boards and organizations as required to perform essential functions.

Students: Contact with undergraduate, graduate, and professional students as required to perform essential functions.

SUPERVISORY RESPONSIBILITY

Direct supervision of director of development research, associate director of prospect management, associate director of business intelligence and reporting, assistant director of database records, associate director of advancement services, four (4) clerk IVs, manager of central files, coordinator of advancement services, senior research analyst for presidential prospecting and four (4) research analyst staff. QUALIFICATIONS

Experience: 10 or more years of progressive professional experience in related field required. Experience in data analytics, statistics, or business strongly desired.

Education/Licensing: Bachelor's degree required. Master’s degree preferred.

    Must have excellent verbal and written communication skills, including excellent customer relationship skill sets, with the ability to communicate concepts in non-technical business terms and bring vision and leadership for effective communications.Ability to interact with diverse internal and external constituencies. Must be able to work both independently and collaboratively with colleagues and team to achieve the desired outcomes. Ability to interact with colleagues, supervisors, and customers face to face.Ability to balance competing priorities and manage multiple concurrent projects.Attention to quality and detail are essential. Identify problems and anticipate needs, resolve data problems.Ability to create and maintain documentation for processes, exceptions, and decision-making criteria for projects and ongoing processes. Must be entrepreneurial and proactive, integrating execution of day-to-day activities with long range planning and execution and exemplary organizational skills.Ability to initiate, manage, and evaluate challenging situations in rapidly changing environments.Must have a passion and deep understanding of CWRU, its history and mission.Willingness to work within existing university systems while implementing new approaches to improve development operations.Flexibility, tact, approachability, and responsiveness are required. Ability to discreetly handle sensitive information is essential.
    Ability to interact with diverse internal and external constituencies. Must be able to work both independently and collaboratively with colleagues.
Ability to meet consistent attendance. Computer proficiency (including Microsoft Office) and the ability to learn new programs.
