Departmental Overview

The Dado and Maria Banatao Center for Global Learning and Outreach from Berkeley Engineering (GLOBE) was founded in 2005 under the vision of Dean Richard A. Newton and College of Engineering long-time friend and benefactors, Dado and Maria Banatao. GLOBE has helped College of Engineering departments, centers, and units engage with international partners, from the initial engagement with Singapore to establish the Singapore BEARS center to the creation of the Philippine-California Advanced Research Institutes (PCARI) to the Tsinghua-Berkeley Shenzhen Institute (TBSI).

GLOBE has also worked with departments and faculty to establish visiting student and scholar programs with partner institutions with whom faculty have strong relationships, from such institutions as Nanyang Technological University in Singapore to Shanghai Tech University in China to ilina University in the Republic of Slovakia.

GLOBE also supports UC Berkeley students with various outgoing programs, from the ENGIN 187 course, “Global Engineering: The Challenges of Globalization and Technology Disruption,” to the GLOBE Ambassadors study-travel program, to identification and facilitation of international internship opportunities.

The incumbent will be responsible for carrying out the above tasks for the GLOBE offices, which are located in 306 McLaughlin Hall and 2150 Shattuck Street in downtown Berkeley:

The scope of this work is to (1) communicate and work with department course schedulers and visiting students to coordinate activities associated with international student affairs work for GLOBE international visiting student programs from China, Singapore, and other research or educational programs with the Philippines, Taiwan, as well as from other partner countries; (2) facilitate programs recruitment material and admission process (3) facilitate public relations work including preparing mailing, gathering information and statistics from a variety of sources; (4) plan and support many meetings, events, site visits, (both on-campus and off-campus, including internationally) as well as other events; (5) prepare material for events, coordinate travel arrangements, and work with CoE staff as well as faculty, students, sponsors, and vendors as necessary to ensure that events are organized and run in a professional manner; and (6) provide general student services and administrative support as needed to enable the efficient and effective operation of GLOBE. The incumbent must use professional concepts to apply campus policies and procedures to manage a variety of administrative operational issues for the office, and all associated administrative matters. The position reports directly to the Director of International Programs.

Responsibilities

This is a part-time, one-year contract (60% time)

55% Student Advising and Services:

  • Advise students on the course selection and concurrent enrollment processes.
  • Advise students and scholars regarding orientation, arrival, and housing, etc.
  • Facilitate program recruitment material and communication with students and partners.
  • Facilitate student and scholar program admission process including scheduling potential interviews and issuing invitation letters, etc.
  • Under direct supervision, coordinate with student workers to plan program orientation and student activities.
  • Working with Engineering department schedulers to ensure timely and appropriate course enrollment.
  • Collect and compile students' course preferences each semester.
  • Communicates with students/scholars regarding GLOBE activities and resources.
  • Organize the fulfillment of necessary forms and paperwork required of students/scholars.
  • Maintain and organize student and scholar master data and information.

    15% Financial Support and Travel Planning:

  • Prepares reimbursement documents and submission through the ERSO intranet.
  • Provides office management services; maintains office equipment, orders supplies; prepares orders for routine office supplies and low-value purchases; prepares federal express mailings and send faxes as needed, and coordinates any other facilities management or purchasing services with the appropriate ERSO business services unit.
  • Works closely with the ERSO Research Support Officers to coordinate proper programmatic charging of expenditures.
  • Makes complex travel arrangements for GLOBE personnel as needed, for faculty involved in international research partnerships, and processes reimbursement documents.
  • Coordinates travel arrangements and reimbursements including finding accommodations and handling other logistics for outside visitors.

    10% Event Planning:

  • Plans and administers all logistics and preparation for special events such as orientation, student activities, conferences, seminars, meetings, and workshops both domestic and international.
  • Independently develops and implements protocols for regular meetings and conferences on an ongoing basis. Makes recommendations for streamlining the planning process.
  • Responsible for staffing events and programs.

    10% Marketing and Communication:

  • Under direct supervision, learns to use basic marketing and communication concepts and assists in marketing and/or sales activities as assigned.
  • Under direct supervision, implement marketing plans, strategies, sales, merchandising, and/or events.
  • Under direct supervision, ensure the compliance of copyright or other legal clearances for publication, products, services, etc.
  • Learns about market research and drafts marketing reports. Creates and maintains marketing and/or sales files, records, calendars, logs, and other related documents.
  • Interfaces with CoE departments and other campus entities as directed.

    10% Office Operations/Project Coordination:

  • Maintains GLOBE calendar of events.
  • Coordinates appointments/meetings with Program Managers, high-ranking university and government personnel.
  • Provides onsite assistance and information to international visitors/guests as needed.
  • Maintains websites and related links that are established for GLOBE.
    Participates in the development and revision of standard operating procedures and guidelines for all office functions.
  • Drafts transcribes, proofreads, edits and maintains correspondence, reports, and meeting minutes; responds to written inquiries; assists with the preparation, proofreading, and editing of reports and proposals; maintains online and hard copy filing systems; screens, prioritizes and follows up on phone calls; assists with PowerPoint and other formal presentations.
  • Facilitate public relations work to include preparing mailings, gathering information and statistics, database entry, and online searches.
  • Performs advanced word processing and prepares reports using the word, PPT, excel, memos, letters, and electronic mail communications.

  • Oversees all aspects of office administration, procurement of supplies, equipment, and outreach. Keep running totals of all swag




    Required Qualifications
    • Basic knowledge and experience working with a diverse student population.
    • Ability to communicate effectively orally and in writing.
    • Interpersonal skills.
    • Multicultural competencies; ability to work with diverse populations.

    Preferred Qualifications
    • Bachelor's degree in engineering (preferred) or international or areas studies and/or equivalent experience/training.
    • Basic knowledge of UC and the department / school /college.

    • This is a part-time (60% time), one-year contract position. Contract positions may be extended based on operational demand. Contract positions are eligible to participate in the health and welfare programs offered by UC Berkeley.
