Job Description Summary
Overview of LPS
The College of Liberal and Professional Studies in the University of Pennsylvania's School of Arts and Sciences is dedicated to extending learning beyond traditional borders and engages a richly diverse population of intellectually capable students at many points in their lives. LPS programs include professional and academic programs (including study abroad and English language programs for international students and professionals), summer sessions, non-credit programs, workshops, and symposia. LPS programs all have a foundation in the arts and sciences. Each year LPS offers 600 credit courses for undergraduate and graduate, degree and non- degree students as well as non-credit courses focused on areas such as personal enrichment, professional development, and English as a second language.

Penn's Summer High School program delivers the challenge of an Ivy League curriculum to academically talented high school students seeking a pre-collegiate experience.

Job Description

The Temporary Administrative Assistant will assist Professional and Organizational Development (POD) and Summer High School (SHS) programs with functional administrative tasks. Tasks include sending digital certificates and swag to participants of boot camps, scheduling meetings managing calendars, responding to FreshDesk, coordinating logistics for meetings/events, making purchases, processing faculty payments and working with the business office.

She/he will answer Freshdesk tickets daily for SHS and POD programs and assist with various clerical tasks.

The Administrative Assistant will Support POD by scheduling meetings and scheduling events (mainly for the Employer Advisory Board) including sending out invitations/letters, tracking attendees, providing updates to attendees about the meeting, and recording notes for the meetings. He/she will update Boot Camp Data in Smartsheets and run weekly Trilogy KPI reports. The Administrative Assistant will create certificates using a Word template, gather swag for each cohort and mail these items using FedEx or UPS. She/he will track inventory of swag and reorder when supplies get low.

The Administrative Assistant will support SHS by working with the SHS Team to develop procedures and protocols that can be documented in both electronic and paper formats.

Qualifications

Minimum requirements are a High School diploma and 3-5 years of relevant experience. The candidate should have excellent organizational skills, basic to intermediate knowledge of Microsoft Word and Excel and excellent attention to detail.
