Operations & Information Management

Job Purpose:
Provide general administrative support to the OIM Department full-time and adjunct faculty, including support for undergraduate, graduate, on-line programs, MBA program director, Omega Beta Sigma (Women's Business Honor Society), the OIM Club, the Graduate Programs Committee, and all committees chaired by faculty housed in the department; duties include general clerical, receptionist, supervisory, record-keeping, and project-based work

Essential Duties:
- Perform general clerical duties for full time and adjunct faculty including photocopying, filing, mailing and arranging for the printing of materials

- Prepare exams and organize departmental meetings

- Notify departmental faculty and other KSOM personnel by email regarding meetings, invitations, upcoming events, announcements; arrange computer and technology support when necessary for meetings

- Upload all OIM department and group meeting information

- Answer telephones, transfer calls, provide answers to basic queries, and/or appropriately and effectively redirect queries from internal and external parties

- Sort and distribute printed mail and maintain departmental mailbox; sign for incoming packages and prepare outgoing packages using UPS, FedEx, DHL, or other appropriate carriers, including time sensitive overnight deliveries

- Prepare and distribute departmental Faculty Teaching/Office Hours Schedule for posting on individual office doors each semester

- Accurately type, modify, and format documents such as syllabi, exams, letters, memos, research papers, reports, handouts, exams, finals, letters of recommendation, etc. using MS Office products and publisher provided software; prepare PowerPoint slides for conference presentations and student recruitment activities, etc.

- Assist in uploading exams into database

- Provide exam information to CTLE

- Order textbooks and necessary information from publisher for faculty; keep bookstore updated with latest book information

- Manage OIM departmental website

- Order all necessary departmental office supplies including paper, toner, ink cartridges, staples, etc. and course related materials including textbooks and supplementary materials for course instructors

- Arrange for departmental and committee meetings (room reservations, order refreshments, process work orders, notify faculty, etc.); attend meetings, take and transcribe minutes of meetings, and distribute minutes from previous meetings

- Assist in faculty new hire process

- Assist in making travel arrangements for faculty attending conferences and for guest speakers; process faculty applications for travel and process travel expense reports

- Keep track of departmental credit card expenditures; maintain receipts of purchases; reconcile, run, and submit the monthly PaymentNet report; maintain accurate record-keeping for budgetary purposes; approve departmental charges in a timely manner

- Support all aspects of the department’s full-time and part-time faculty hiring process, including advertisements, making candidate travel arrangements, processing interview reimbursements, and assisting with the online recruiting process

- Interview, hire, and supervise departmental work study students; provide work assignments and approve hours worked

- Access and upload departmental syllabi and minutes to the Royal Drive in support of AACSB requirements using format provided by KSOM Dean’s office

- Prepare monthly calendar for Chair, listing all departmental and Dean’s office meetings to avoid scheduling conflicts

- Prepare handouts for student recruitment activities including Open House I, Open House II, Freshman Preview Day; coordinate faculty coverage at recruitment events using voluntary sign-up sheet

- Assist faculty with make-up exams; provide GA contact information; distribute exam as requested by faculty member

- Assist leader of student clubs and honor societies in planning events (dinners, receptions, etc.)

Additional Skills Required:
- Basic reading, writing, and math skills

- Effective interpersonal and communications skills including professional telephone protocol

- Proficiency in Microsoft Office suite and ability to learn new software

- Ability to work independently or in a group

- Must be able to respect, support and contribute to the University’s Catholic and Jesuit mission

Minimum Education Requirements:
High School diploma or equivalent required

Preferred Education:


Minimum Job Experience Requirements:
Two years of clerical and/or secretarial experience in an office setting, including demonstrated word processing and other office-related computer software experience

Schedule/Work Hours:
Monday through Friday, 8:30 a.m.-4:30 p.m. (35 hours per week). Additional hours as required.
