Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.:- Minimum 6 months experience in the Registrar’s Office working with student records/information.
- Minimum 6 months experience with university systems such as Banner, BDMS, Logi Reports and .NET tools.
- Experience supervising.
- Experience interacting with university faculty, students, and staff in a working environment.
- Experience in troubleshooting student records issues.
- Ability to prepare concise and grammatically correct correspondence.
- Ability to work independently and in a collaborative environment.
- Evidence of organizational skills.
- Ability to prioritize and delegate workload.
- Proficiency in Microsoft Office, especially Outlook and Excel
- Applicant must attach a table addressing how you meet the required and preferred qualifications of the job.
Preferred Qualifications:
- Experience maintaining electronic filing systems in shared drives
- Two or more years of experience supervising
- Knowledge of Texas State University Policies and Procedures
- Typing test with 45 wpm minimum
Supervises full time staff members and student workers in the Student Records area of our office. Provides accurate and timely information to public, faculty, staff and students. Responsible for ensuring transcripts, diplomas, change of grades, change of student information, withdrawals, administrative course changes, probation/suspension, reinstatements and other student information is accurately maintained in our student information system. Responsible for the purging of student records and imaging of all paperwork. The Student Records Coordinator reports to the Office of the University Registrar in the Division of Academic Affairs.
Job Duties:Position is responsible for the coordination of all tasks associated with Student Record Information, including the trouble shooting and resolving registration issues, transcript issues, enrollment verification, diploma processing, hiring, training, scheduling and delegating tasks to team members. Position assists in data integrity checks as well as researching data issues. Training: Provides training to staff members and student workers to ensure accurate student records are maintained. Communication/Correspondence: Provides timely communication to university departments, staff and students. Supervision: Supervises full time staff members and student workers, as allocated. Provides assistance to Assistant University Registrar: Provides reports and works on special projects. Promotes professionalism with professional attire & office decorum.
