Job Summary This position supports the Office of the Chancellor for the University System of Georgia by providing front office support and serves as a first point of contact for the 8th floor front desk. This position will report primarily to the Chancellor’s Office Chief of Staff (COS), as well as the Chancellor’s Executive Assistant (EA), who will guide this position’s daily duties. Responsibilities
- Front Office and Administrative SupportProvide administrative and logistics support during meetings and other special events.Assist with managing calendars, scheduling meetings, making travel arrangements, and travel and expense reimbursements.Answer, screen, and forward incoming telephone calls.Greet, direct and/or escort guests to appropriate meeting room locations.Notify appropriate personnel of awaiting guests or deliveries.Maintain awareness of daily meetings and activities for the System Office.Receive, sort and direct daily incoming mail, packages and special deliveries to appropriate personnel and/or departments.Manage remote access to meeting rooms.Assist other administrative support staff with overflow work as directed by COS and EA.Assist the Communications and Government Relations Department with special projects as needed.Perform related duties as assigned.
- Associate degree required
- More than three years of experience performing clerical or administrative work in an office environment required.
- Or equivalent combination of education and experience.
- Baccalaureate degree from an accredited college or university, in a Business Administration or a related field.
- Knowledge of customer service principles and practices.Knowledge of modern office principles and practices.Knowledge of computers and job-related software programs, including high degree of proficiency with MS Office and Windows 10 applications.Skill in decision-making and problem solving, including the ability to be resourceful and proactive when dealing with issues that may arise.Skill in oral and written communication.Skill in collecting, compiling, and reporting data.Ability to respond diplomatically to sensitive and critical issues.Ability to respond to multiple requests in an organized and timely manner.Ability to maintain confidentiality standards.Skill in interpersonal relations and in dealing with the public.Ability to respond diplomatically to sensitive and critical issues.Ability to effectively multi-task.
